Content

In East Equipment company the project on process automation of lease of the construction, mountain, career equipment and machines for road construction started. For performance improvement of the operating information system within the project transition to the Microsoft Dynamics AX 2009 platform is provided. Works are carried out by specialists of the international consulting company Columbus.

"East equipment" - the largest official distributor of Caterpillar in the territory of Siberia, Yakutia and the Far East. The company specializes in sale of the new and second-hand equipment and also provides services in repair and service maintenance. "East equipment" also supplies products of Metso Minerals and Sullair companies to the Russian market.

Roman Davydov, the project coordinator from East Equipment company, tells: "Due to growth of the park of the machines leased there was a need for the information system allowing to automate basic processes of rent business, obtaining the reporting and calculation of key performance indicators. First of all solutions on the basis of Microsoft Dynamics AX were considered".

The solution proposed by the international consulting company Columbus offers a full range of functionality for the organization of rent business. The updated information system built on Microsoft Dynamics AX 2009 will allow specialists of "East equipment" to carry out the accounting of lease agreements, to plan costs and settlement with clients, including, will provide flexible mechanisms for calculation of cost of lease, including the selling price, depreciation charges, a reserve of the forthcoming repairs, salary of operators and of river.

Staff of East Equipment company will receive complex tools for planning of a rent cycle, reservation and tracking of availability of objects on the set terms. Also it is supposed to simplify processes of maintaining and coordination of document flow (execution of agreements, generation and printing of accompanying documents: accounts, acts and other documentation).

Besides, a number of tools for management of service maintenance, first of all, for creation of requests and accounting of transactions of technical maintenance and repair of objects of lease (the park of machines), coordination of purchases of spare parts and component parts will be entered. The solution will allow specialists of "East equipment" to automate formation of the consolidated statements on clients and the objects of lease flowing and the spent reserves, the actual sales, costs and revenue.

The new functionality will be implemented within upgraded version of a system – Microsoft Dynamics AX 2009, transition from the version of AX 4.0 to AX 2009 will be performed at the first stage of the project.

According to the representative of "East equipment", the software package offered Columbus based on Microsoft Dynamics AX 2009, will become a fundamental basis for active development of the company regarding conducting rent business.

Result

The company completed the project of automation of rent business implemented jointly with specialists of consulting company Columbus. In its framework transfer of the operating ERP system to the version of Microsoft Dynamics AX 2009 is executed, the press service of the company integrator reported about it on September 12, 2012.

The solution deployed by Columbus offers a full range of functionality for conducting rent business, helping specialists of East Equipment to carry out the accounting of lease agreements, to plan costs and settlement with clients. Within the project the uniform normative and help base in which the leases given on objects and service maintenance, necessary for operational formation of offers on lease and control of their execution are considered is organized. Reference books contain serial numbers of machines, their description, the current location, possible lease terms, the history of orders, orders for repair and maintenance inspections, data on idle times and write-offs and many other things. The solution Columbus provides separation of access rights to data on divisions of the company and to job responsibilities of users.

"At the expense of the new module specialists of commercial department of East Equipment purchased complex opportunities for planning of a rent cycle and reservation of machines proceeding from the diagram of their availability for the terms specified in the client offer. The solution Columbus provides flexible mechanisms for calculation of cost of lease and additional costs, including the lease price, depreciation charges depending on operating conditions of machines, a reserve under the forthcoming repairs and also accounting of a patch of operators. In the updated system data as on the rented machines, including with their subsequent redemption, and data on the park of the new equipment are considered", - Elena Karpunicheva, the director of business development of Columbus noted.

Development of the client direction

The East Equipment trade distribution company in cooperation with Columbus company completed the project of automation of customer services and technical support by implementation of the software solution on the platform standard the Customer Relationship Management System functionality of Microsoft Dynamics AX, the press service of integrator reported on April 16, 2013.

Tasks

The bases for implementation of the module were improvement of service quality of customers of the distributor, assessment of level of their satisfaction and loyalty, profound segmentation of the customer base of data and also detection of customers needs in services in service repair, sale of spare parts and component parts. Specialists of Columbus deployed the required solution.

Details

The CRM module deployed by a project team includes functionality for the organization and holding client polls. For this purpose are attached different questionnaires, the including closed questions or a series of judgments which clients of the company should estimate on a ten-mark scale to all lists of call-down. Such surveys specialists in sales of East Equipment are conducted by once a month. During call-down in the ERP system questions and complaints of clients are fixed, on each of which specialists, responsible for their solution, are appointed, terms and execution plans of tasks are defined.

Valeria Pogarskaya, the head CRM- groups "East Equipment", noted: "Process of questioning became simpler: the contact person for poll in the selected company is automatically determined, necessary customer information and the purchased products always near at hand. It is convenient to fix survey results, to manage them, to create necessary reports, to create and distribute tasks between the staff of divisions. And the most important – the opinion of the client received during the poll is immediately available to all employees involved in work with it".
"The new tool allowed to conduct purposeful work with in advance segmented customer base, to understand dynamics of the shift in demand of customers on our products and services. Means of the reporting of Microsoft SQL Server 2008 helped us to provide full control over indicators of work of division. Using the tools put in the solution Columbus we also receive reports using which we can easily trace and analyze the efficiency and profitability", - Maya Popova, the internal representative selling service and spare parts in department of technical support of customers of the Central and Western Siberia emphasized East Equipment companies.

According to the results of the project the distributor received the convenient tool for operational poll of buyers and could personify own offers under different customer needs.
