ABBYY FlexiCapture в OCS Distribution

On May 28, 2012 the companies ABBYY also Avis Expert announced a successful completion of implementation of uniform electronic archive of primary accounting documentation in the company OCS. The solution includes two components – the system of stream input of documents on the ABBYY FlexiCapture platform and electronic archive on the DIRECTUM platform. At the moment in OCS about 180,000 documents are monthly processed.

Feature of distribution business is existence of a large number of economic transactions and, as a result, work with a huge flow of finance documents – up to 6,000 sets a day. The OCS company faced a problem when to store and look for numerous documents and also it became extremely difficult to prepare for tax audits without use of a specialized system. The decision to implement uniform electronic archive in this connection it was also required to automate input of primary finance documents in electronic archive was so made.

For preprocessing of a flow of the scanned documents the solution ABBYY Recognition Server, and ABBYY FlexiCapture with a distributed architecture – for processing of new incoming documents was selected. With their help the following types of primary accounting documentation are processed: invoices for payment and invoices, consignment and commodity-transport notes, deeds of conveyance of the rights, powers of attorney, payment orders, bank orders, claims and acts on return and others.

As a result all documents coming to offices or on warehouses of the company are surely scanned and after that are sent by packets to head office. ABBYY Recognition Server automatically sorts documents by types, controls integrity of each of them, integrates pages in documents taking into account their correct sequence and after that imports the image to electronic archive, at the same time from the financial accounting system details are entered. The documents which for the first time has come to the company are processed by ABBYY FlexiCapture. A system makes full text recognition and extraction of attributes from electronic the scan image. In a card of each document its details and information on the place and time of scanning and also number of a packet in which it is given to head office automatically register. It allows to detect timely losses of documents at transfer.
