The partner 1C-Rarus in Kemerovo – the Softtekhsnab company - automated the official dealer of cars and the spare parts Audi. "AS of Kemerovo" organized sales management and service works with the help of industry solution today "An alpha Car, edition 4". 17 jobs in all departments of the company are automated. The management obtains operational and reliable data that allows to manage business effectively. In different departments the labor input of accounting is reduced by 30-50%. Time for accomplishment of priority tasks is released. Customer service quality is increased.

"AS of Kemerovo" is included into Sibinpeks Group. Official dealership of Audi is received in 2008. Primary activity – sale and service maintenance of cars and also sale of spare parts and accessories of Audi. Managers of sales department, the staff of service are highly qualified specialists with work experience in automobile business.

The structure of the company includes departments:

  • Sales (implementation of cars);
  • Service (sale of spare parts, warranty and post-warranty service of cars);
  • Accounting.

Storage and processing of databases of goods, services, partners and calculations were conducted by different departments of the company using the different programs not united in the general system. Information exchange between divisions was organized using paper carriers that created need of duplication of data entry and their analysis. The efficiency and reliability of data analysis at such scheme of work were low.

The management of "AS of Kemerovo" decided to create a new information system on the 1C: Enterprise 8.2 platform which allowed:

  • Exclude a zadvoyeniye of accounting transactions;
  • Integrate databases of all departments;
  • Simplify and accelerate the carried-out job analysis;
  • Increase efficiency of work of employees.

For automation of work of sales department and service the industry solution "An alpha Car, edition 4", developed by specialists 1C-Rarus taking into account needs of automobile dealers was selected. For accounting automation – "1C: Enterprise Accounting 8". Based on the passable test task involved Softtekhsnab company in project implementation - the partner 1C-Rarus in the city of Kemerovo.

All departments entering into structure "AS of Kemerovo" are automated, a common information space for accounting is created. 17 jobs for personnel of the company are created.

The sales department keeps account of implementations of cars in "An alpha Car, edition 4". A system automatically creates ready agreements and annexes to them of the document "Order for the Car". Possibilities for entering of changes into agreements and preserving of documents are provided.

The department of service organized work on sale and accounting of spare parts and supplies using a system: inventory control, orders and reserves of buyers, settlement, pricing. Employees conduct in "An alpha Car, edition 4" planning and record of cars on repair and service. Users can directly import to the order of the spare part from the car catalog of ETKA, and autowork – from car catalogs of ELSA and ELSA PRO. The program helps to plan resources of a repair zone, receiving and delivery of cars. The possibility of barcoding of orders allows to keep a time recording of mechanics. In a zone of acceptance of cars the client can browse information on acceptance issue of the car, including the photo of the master, on the large-format TV. It became possible thanks to the configured report "The customer's monitor".

The department of accounting in a new information system keeps accounting and tax accounting and also management accounting. Today work of division is based as follows: all economic transactions at first are registered in the Alpha Car program from where then are unloaded in "Enterprise accounting 8".

Operational and timely receiving reliable data on the basis of which effective management of the company is based became the main result of the project.

As a result of automation:

  • The labor input of accounting is reduced by 30-50% on different sections;
  • Data entry duplication, and together with it and emergence of errors is excluded; at the expense of it time for accomplishment of other tasks is released;
  • Time for laborious document creation to clients and search of necessary information is reduced;
  • Service quality is increased (including thanks to storage of history of repairs with information on the one who did repair when what spare parts were replaced);
  • Time expenditure of staff of accounting service is reduced by preparation of the regulated reporting.

Evgeny Aleksandrovich Kirichenko, the director of "AS of Kemerovo" tells: - Project implementation allowed us to solve all assigned tasks. We see the greatest effect in work of service divisions: it was succeeded to facilitate process of acceptance of the car, drawing up the order, selection of spare parts, accounting of settlement with customers. Such important task as reduction of time for creation of orders is solved. Earlier to the staff of department of service when filling the order it was necessary to create at first by the VIN code of the car the list of necessary spare parts of the specialized car catalog of ETKA and the list of necessary works from the directory of autoworks of ELSA. Then these data were entered in the program and joined in the order. Today data are automatically loaded from ETKA and ELSA into the corresponding table parts of the order. Our employees note convenience of work in a new system. Various checks at document records and elements of reference books help to exclude incorrect or incomplete introduction of data. A system prompts, highlighting with documents in special color, that the document gets into group of special attention or requires special control. Additional settings allow to output such visual hints only to those users to whom they will be useful (to beginners, etc.).
