The agro-industrial holding, largest in Russia, "Walk about" in cooperation with Hold-Invest-Audit auditing company completed a pilot project on system implementation of "1C: Payroll and HR Management 8 CORP". Commercial operation was started by 11 enterprises from 65, now in a system 150 users who calculate the salary for 4000 employees of holding actively work.
As a result of implementation:
- Settlement schemes on all enterprises are unified;
- An opportunity of instant verification of any data on any analytical section, without additional requests in the relevant divisions is had;
- Terms of preparation of the management reporting from several days are reduced to minutes;
- There was an opportunity to use analytical cost data on FZP when budgeting on the centers of the financial responsibility that increased the accuracy of drawing up budgets;
- Means are saved on the maintenance of the device of auditors and auditors, traveling expenses;
- Costs for updating of the park of the computer equipment are reduced: there is no need to put powerful workstations, work is carried out terminalno.
- Charges of staff of IT services, on administration of the local systems and on consultation of users are reduced.
Group "Walk about" - it is the largest national agroholding which integrates three industry directions – sugar, agricultural and grain and also division on interaction with retail networks. The holding includes 12 elevators, 7 flour-grinding enterprises, 3 cereal plants, 10 sugar plants and concentrated milk plant. Under control of holding there are more than 460 thousand hectares of the earth, including 338 thousand hectares – in processing in 2011.
Before implementation of a corporate information system accounting in group "Walk about" it was conducted in the decentralized mode. Each enterprise of this geographically distributed holding used own information management systems which worked independently by the principles.
In 2011 the management of holding accepted new business strategy according to which it was necessary to centralize all control functions. It assumed implementation of the general management systems and accounting, such as personnel records, accounting, managerial, tax, the international financial statements, budgeting, treasury, document flow, sales and purchases. It was decided to build a uniform ERP system on the 1C:Enterprise 8 platform.
Implementation of a single system of personnel records and payroll became one of stages of this strategic project. It had to allow to fulfill a number of mechanisms of a single system taking into account specifics of the enterprises, could be implemented in short terms and did not depend on the course of implementation of other blocks of automation. As a basis for personnel records and payroll the "1C: Payroll and HR Management 8 CORP" software product was selected. Project implementation was entrusted to auditor and consulting company Ltd JSC Hold-Invest-Audit – the choice was caused by existence in the company of professional advisors and methodologists and also positive experience of joint work earlier.
The management "WALK ABOUT" set a number of the tasks for project managers:
- Unify a wage system, staff lists and organization structures of the enterprises.
- Increase transparency and efficiency in cost management on personnel.
- Increase efficiency of obtaining analytical information for acceptance of management decisions and reduce costs for obtaining reliable information.
- Increase the level of personal data protection of employees.
- Reduce costs for control functions by the personnel and payroll.
Implementation was begun with the standard enterprises of holding for each type of business: sugar, agricultural and grain. "The decision to separate a pilot project into several stages was made: adaptation of a standard configuration according to specifics of the enterprises, trial operation of the solution at the selected enterprises, replication of this solution on all branches and unification of a piece-work pay, – Victor Pavlich, the project manager of implementation the ERP system of JSC Group RAZGULYAY tells. – It was necessary to define pilot zones from all list of the enterprises. As the holding has a divizionalno-regional management system, we selected the companies differing by the industry and territorial principle".
Such approach allowed not only to develop the unified managerial and accounting techniques, but also to fulfill technology of replication on which implementation at all enterprises of holding will be performed.
In January, 2012, after three months of trial operation, users completely passed to a new system. Now "1C: Payroll and HR Management 8 CORP" is unrolled at 11 enterprises, in it 150 users who calculate salary for 4,000 employees work.
Results of a pilot project:
- Uniform rules and the Uniform automated control system for the personnel and payroll are developed for all holding. It already allowed heads of business to organize centralized operation by the personnel and to completely control settlings with personnel at 11 enterprises.
- Terms of preparation of the management reporting were reduced till several o'clock and even minutes (in comparison with days to implementation by the centralized AS).
- Possibilities of 1C:Enterprise 8 ensure safe and confidential functioning with personal data.
- There was an opportunity to use analytical cost data on FZP when budgeting on the centers of the financial responsibility that increased the accuracy of drawing up budgets;
- Costs for updating of the park of the computer equipment are reduced: there is no need to put powerful workstations, work is carried out in the terminal mode.
- Charges of staff of IT services, on administration of the local systems and on consultation of users are reduced.
The director of Management of Information technologies Krasnov Alexander so comments on today's achievements: "As a result of a pilot project we achieved the objects set at this stage: unified personnel records, achieved cutting of costs for personnel management and payroll, fulfilled technologies of replication. The total quantity of the enterprises connected to a system will be brought from 11 to 54 by the end of the third quarter 2012. In a system over 300 users who will keep personnel records and payroll for 14.000 employees will be integrated".
