Company management an effective objective – in time to provide construction objects with required materials, purchasing them at the beneficial prices. It is possible reduce costs for purchase and material handling of the company by centralization of purchasing activity and receiving discounts for volume. All works with suppliers are conducted by specialists of the department of logistics (DL).

Earlier on section of supply there were following difficulties: 1. Preparation and approval of material requisitions took place "on paper" that involved dead time and data, permanent need of refining of structure of requests; 2. There was no operational information about the movement of materials and commission of payments to suppliers in department of logistics; 3. There was no full information on the forthcoming payments in economical department and accounting.

The management Transstroyinvest made the decision on implementation of the information system allowing:

  • Organize formation and approval of material requisitions in electronic form;
  • Obtain reliable information about accomplishment of materials requirements;
  • Reflect supplier orders and invoices for payment by orders;
  • Monitor the operational movement of materials;
  • Control stock balance.

The solution "1C became a basis of an information system: Management of construction organization 8". The 1C-Rarus company was selected from quality of the contractor of the project thanks to existence of wide experience of automation of construction business.

In the created information system work of the department of logistics (DL) and also accounting regarding payment of accounts from suppliers, reflection of arrival and a material transfer is organized. Subsystems of Purchase and Stocks are implemented. 10 jobs are automated.

As a result of implementation "1C: Management of construction organization 8" OMTS could achieve the following improvements in work: 1. Time for preparation of material requisitions is accelerated twice. Approval happens quickly, losses of documentation are excluded. 2. An opportunity to provide objects with the required material in day of an approval of the request thanks to the system of automatic reservation of products is had (in the presence of materials in a warehouse). 3. In the absence of materials in a warehouse a system allows to create quickly the supplier order on the basis of the request. Suppliers can be selected both by all order, and on each separate material within the order. It helps to save, ordering specific material from the specific supplier offering the most beneficial price. 4. The staff of OMTS quickly traces a status of orders and their payment. It allows to warn colleagues on objects about intake of materials in advance and to plan construction works. 5. Quickly exact payment schedules for economical department and accounting are formed. Payments go just in time, delays of materials because of delay in payment of orders are excluded.

Yulia Zubarenko, the deputy CEO of Transstroyinvest LLC tells: The implemented software product allowed us to organize ordered and transparent process of work with suppliers among whom over 200 companies. Now we conduct work on five construction objects. So, in general for May, 2012 the staff of OMTS using "1C: Management of construction organization 8" was created by supplier orders for the total amount over 200 million rubles. Process automation of supply helped to adjust continuous work on supply of materials, especially with suppliers from the Moscow region. We provide all construction objects with required materials, we calculate terms of accomplishment of this or that order thanks to what employees on objects can plan the working time with a bigger accuracy.

Today, as a result of system implementation, effective cooperation is reached between OMTS and department of accounting. Work in a single system with a possibility of planning of payments promoted reduction of delays on payment of orders. Money transfers to suppliers go in time, and we try to obtain increase in speed of accomplishment of orders. The reputation of the company among suppliers is steadily strengthened.

2013, July. Control automation by work of motor transport

Following an implementation stage - control automation by work of motor transport providing delivery of required materials to construction objects the press service of integrator reported on July 9, 2013.

Previously

To system implementation on this business section all requests for transport, the construction equipment and means of small-scale mechanization were made out on paper that led to dead times and additional amendments of structure of the request at the applicant (for example, because of illegible handwriting). Besides, account of a consumption of fuel and lubricants was kept in tables that did not allow to guarantee its accuracy and transparency.

The management needed to automate Transstroyinvest:

  • Accounting of work requests of motor transport, construction machines and mechanisms;
  • Control of work of transport;
  • Accounting of repairs and maintenance of motor transport;
  • Use control of fuel and lubricants.

Used functionality for automation of tasks "1C: Management of construction organization 8", finished taking into account wishes of the company:

  • work of dispatching service is optimized – order taking for motor transport and construction machines, accounting of a consumption of fuel and lubricants is automated. Managers had an opportunity to work with waybills for different cars, including fuelers and truck cranes. A system helps to create route sheets for drivers and to define an optimal route of the movement.

  • in a system the service of the chief mechanical engineer which had an opportunity to keep the automated account of documents on transport and construction machines, accounting of repairs and maintenance works. For each piece of equipment account of an expense of spare parts is kept now that allows to analyze its wear resistance and to plan housekeeping overheads.

Implementation the Transstroyinvest company got advantages:

  • timely accomplishment of requests for motor transport, construction equipment and means of small-scale mechanization;
  • reduction of time for processing and accomplishment of requests, accurate work planning of a large number of automotive equipment – over 140 units, including more than 50 units of construction machines;
  • accounting of execution of works according to traveling and route sheets, acceleration of the statement and data processing of documents;
  • control of a run of motor transport and timely planning of checkups;
  • refining of consumption rates of fuel and lubricants for each piece of equipment and total expense of fuel. So, for example, the average indicator of total expense of fuel and lubricants in 2012 was over 145 thousand liters monthly;
  • control of validity periods of driver's licenses, admissions, policies of the CMTPL and KASKO, timely formation of necessary documents;
  • accounting of repairs of the equipment, including – accounting of the spent time and spare parts on repairs on each piece of equipment.

Yulia Zubarenko, the deputy CEO of Transstroyinvest LLC, noted: "Automation helped us to arrange work of motor transport and dispatching service. We received a clear and clear picture – on what routes we involve more equipment and cars, than it is necessary and on what routes there is explicit "deficit" of the equipment. Thanks to data of the report on a consumption of fuel and lubricants developed 1C-Rarus we defined the actual fuel consumption and learned where and why there is an economy or burned through fuel and lubricants. As a result we could review fuel consumption rates taking into account road conditions on a route. We saw what drivers perform material handling on an object quicker. It allowed us to optimize time and material costs on execution of works and the maintenance of the road-building equipment. Today we obtain exact information on each unit of motor transport and the road-building equipment:
  • broad and evident picture of its technical condition,
  • the number of repairs and the spare parts spent for its contents,
  • the actual run in kilometers or an operating time in engine hours for any time frame.

All this allowed us to make fast decisions on updating of the park of our cars, construction machines and small-scale mechanization.
