The Baltic NPP automates the system of turnover of documents and implements Case

Westcomp Consulting executed implementation of EDMS Matter in the enterprise of the structure of Rosatom state corporation - the Baltic nuclear power plant.

Goal

In 2011 the decision on automation of work with documents was made by the management of Rosenergoatom Concern branch of JSC "Directorate of the Baltic nuclear power plant under construction". The directorate conducts construction of the new NPP in the territory of the Kaliningrad region. The project long-term - commissioning of the NPP in operation is scheduled in 2018.

The solution to automate processes, office work and adjacent to them, was connected with need to arrange large-scale document flow of Directorate and also to create an effective control system of instructions of the management.

Solution

At the first stage, in 2011, 9 licenses of the ARCHIVING system (1 - "The archive worker", 8 - Clerk) and also 3 jobs of the CASE system, a subsystem of "Delo-web", the option "Scanning" and "Notification and Notification" were purchased.

At the second stage of implementation jobs the CASE systems were installed in each department of Directorate. All users got access to the option "Notification and Notification" which main function – anticipatory control of execution of documents and instructions.

Result

A system is in the period of trial operation.

Implementation allowed to solve a number of problems: automate work of department of documentary providing (processes of registration of the entering, outgoing and internal documents), input and execution of orders of the top management. Accounting of paper documents was adjusted, it became perhaps considerable to accelerate processes of search and selection of documents, collecting of statistical data.

Heads of directorate became the participant of EDMS at the second stage of implementation also. It allowed to simplify and accelerate processes of approval of documents considerably.

Now in directorate of the Baltic nuclear power plant under construction 33 jobs of EDMS "DELO", 33 options "Notification and Notification", a subsystem of "Delo-web", 2 options "Scanning" are set.
