Docsvision system implementation in Irkutskgeofizik

RKIT Group system integrator, the partner of DocsVision performed Docsvision system implementation in Irkutskgeofizik — one of the largest specialized enterprises on geophysical and geological surveys in Eastern Siberia and in the Far East of the Russian Federation.

Implementation of EDMS is caused, first of all, by increase of volumes of document flow and need of effective data exchange with Rosgeo holding which includes the enterprise.

Previously IT specialists of the company analyzed the platforms presented at the market. At competitive selection in addition to Docsvision two more platforms which were rejected because of the high cost of a product and insufficient functionality were considered. A choice was made for benefit of Docsvision: IT specialists of Irkutskgeofizika came to a conclusion that the functionality of the platform completely meets the requirements of automation of different tasks, including elements of management accounting.

Implementation of EDMS was entrusted RKIT Group system integrator, based on experience of this company and positive reviews of her customers. During a pilot project the integrator solved problems of automation of basic office-work and control of performing discipline.

Staff of RKIT Group developed the application solution, held consultations of IT specialists in administration, installation of a system, preparation of technical base, prepared operational documentation and a series of the training videos for users. Trained in work with the system of non-management employees, provided individual training of top managers, line managers and clerks (only 16 people). For the management in a basic configuration the workplace of the head was organized, automatic unloading of reports on the basis of analytical data on work with documents, resolutions, instructions is configured.

The solution RKIT Group on the Docsvision platform provided to the customer a number of advantages:

• Acceleration of data exchange in the organization, rapid response to the arriving data from territorial and remote divisions, partners, contractors. Quick access to all document types, exception of losses of documents, decrease in influence of a human factor.
• Reduction of terms of approval of documents.
• Data protection due to flexible distribution of access rights.
• Performance improvement of work of clerks due to automatic control of performing discipline.

In a month through a system there pass about 1000 documents. The office registers, sends to the head, delegates to contractors up to 100 documents a day.

The project was implemented as soon as possible: in 7 days. Support of the top management of the company interested in the fastest start of a system in operation became an important factor of successful implementation.

In plans of the management of FGUNPGP of Irkutskgeofizik — gradually to expand functionality of EDMS, until the end of the year to automate contract activities.
