The Oblastnaya political newspaper implements the solution EDocLib: Asset Business

Till fall of 2012 document registration of edition "Regional" was conducted in the normal magazine. All orders and documents were sent responsible to persons by e-mail. Such approach complicated control over accomplishment of instructions and performing discipline. These difficulties led the management of the newspaper to the decision on system implementation of management of documents which would allow not only to organize accounting and document storage, but also to provide timely control of execution of instructions, possibilities of paperless approval of documents, accounting of agreements and contractual documentation and other modern abilities to manage with information of the organization.

The Oblastnoy publishing house determined by priorities which the implemented system should solve:

• accounting and work with different types of documents (both within classical and contractual office-work, and with diverse corporate documents and information which is not providing the legal importance);
• management of electronic images and document files, creation of electronic archive;
• job control as in connection with execution of different documents, and the current instructions of the management.

All these tasks are easily feasible using the universal application solution "eDocLib: An asset Business", developed by KS-Consulting company (Barnaul, the partner of EOS Group) based on the eDocLib ECM platform. The optimal price, rich functionality, an opportunity to adapt to needs of the company – all this determined the choice of the management of the Oblastnaya newspaper for benefit of the eDoclib platform and the solution "by eDocLib: Asset Business". Also ample opportunities of the platform for work with diverse content which can be used afterwards for automation of editorial business processes by preparation of materials for the newspaper became an important additional factor for benefit of the choice.

The contractor of the project selected the Referent News agency company which main profile since 2005 is rendering services in optimization of work with documents. The company is a partner of EOS Group, well proved in the market of the Irkutsk region and implemented a large number of implementations of EDMS for the organizations of a different profile.

At the first stage, in Regional 10 jobs of the eDocLib platform and the solution "are implemented by eDocLib: Asset Business". Access to a system provides key persons of the organization and the director of publishing house. Tuning of a system and setup of user rights for work with entering/proceeding correspondence, internal documents, agreements is performed, the possibility of translation of documents in an electronic form, job control and joint work with information in a system is provided. Further publishing house it is going to use actively mechanisms of work with draft documents in electronic form in relation to internal documents of the organization and approval of agreements.

Further based on the implemented platform it is supposed to provide each employee with individually configured working space in a system and to organize joint work of copywriters, journalists and editors over edition materials.
