eDocLib: An asset Business - the complete solution for business

For the small and dynamic enterprises, requirement of the basic solution of such tasks as customer relationship management (CRM), automation of service of service, management of documents and accounting of agreements, execution control of documents and job control is characteristic.

On the other hand, these enterprises are not able to afford specialized and expensive solutions for each of these tasks. It is especially important to apply inexpensive, flexible complete solutions with short-term implementation to them, ready to scaling after business growth. Application solution "eDocLib: The asset Business" uses key advantages of a document management system of EDocLib, and is developed specially to provide to the enterprises of small and medium business inexpensive and effective solution of routine tasks of information management.

eDocLib is a universal platform of management of documents and information and interaction of personnel. Among basic functions of the solution there are a management of documents, images of documents (Document Imaging), electronic records (ERM) and data, workflows (Workflow), web content (WCM) and multimedia content (DAM) and also knowledge (Knowledge Management). Also the solution allows to organize collective work (Collaboration) and to create the user portals.

eDocLib 2.5 is the version of an ECM system which is officially provided in December, 2010, years. The main changes which appeared in version 2.5 concerned the interface which became even more Windows - focused, search capabilities and integration into other applications, setup and administration.

Main systems capabilities

eDocLib: The asset provides Business:

  • Workflow automation at the enterprise, electronic document management (EDMS): accounting of the entering / outgoing and internal documents, generation of printed forms of standard documents on templates, execution control, control of the movement and return of originals, scanning of documents, control of execution of instructions according to documents, electronic vising and approval.
  • Maintaining agreements: accounting, approval, organization of performance of agreements and control of execution of contractual commitments. Includes possibilities of accounting of all documents accompanying the agreement – subcontracts, accounts (with \f, delivery notes and acts) suppliers, supplementary agreements, official correspondence, etc.
  • Basic functions of customer relationship management (CRM): the organization of collective work of sales managers from a stage of "pre-sale preparation", correspondences by e-mail, before drawing up commercial offers and agreements, maintaining uniform base of clients and contacts. As for CRM functionality, in the solution are covered a task of both marketing, and sales. For collecting and processing of preliminary requests of potential clients there are documents "Interest" and "Possible Transaction", and for further work of sales managers in "eDocLib: An asset Business" Commercial offer, Draft treaty, Order, Task, Call, Meeting, "e-mail" are used. The company notes that "in this version of a configuration "eDocLib: An asset Business" did not focus attention on such functions as development of marketing stocks, offers, tasks for telemarketing, etc. In case of the interest of customers in these functions the corresponding business logic will be worked out in the subsequent versions of a configuration".
  • Within maintaining agreements and other business documentation eDocLib: The asset Business allows to provide accounting of agreements of any type with a possibility of creation of an individual registration card for the agreement of each type, accounting of acts with a possibility of generation of a standard printed form of the act on a template on the basis of data of a registration card. Also there is an opportunity to keep account of accounting documents: accounts, invoices, delivery notes. Besides, for all documents it is possible to organize storage of their files, scanning and storage of images, to register routes of the movement of documents on the organization, to give an opportunity for collective work on the document and to provide execution control.
  • Basic functions of automation of customer service (Help desk/Service desk): calls accounting (requests) in technical support service, automatic calls accounting by e-mail and the subsequent correspondence according to the problem resolution, control of completion dates of requests (problem solving terms), accumulation of the knowledge base.
  • Accumulation and corporate content management, diverse unstructured documents (from business correspondence by e-mail to graphics and multimedia documents).
  • Job control – the functions providing a possibility of formation of tasks for personnel of the company (including tasks according to documents), routing of tasks and control of their execution, allow to integrate different business functions in uniform process. So, for example, payment of the agreement of service maintenance can cause formation of the corresponding task to customer service.
  • Integration with Microsoft Outlook and the CPC: synchronization of contacts and tasks, registration of e-mail. Function allows mobile employees to synchronize automatically the data with MS Outlook, most important for work, on the notebook or with the CPC. Wherever there was an employee, even without having access to the Internet, he will have all necessary contacts and to receive reminders on delivered in "eDocLib: Asset Business" tasks. It supplements basic functions of integration eDocLib 2.5, the allowing letters being in Microsoft Outlook to register in eDocLib as documents, and to send documents of eDocLib e-mail transport using Outlook. At the same time registration in eDocLib can be both manual, and automatic, i.e. set in advance.
  • Integration with the system of line scanning allows to start process of scanning of the eDocLib system and to attach its scanned electronic image to the work card of the document.

2016: eDocLib: Asset Business of v.2.6.1

On December 9, 2016 the KS-Consulting company announced release of the version of a system "eDocLib: Asset Business".

The main changes in release affected the user interface. The concept of design of the eDocLib platform is concentrated on concepts of simplicity and convenience of work with documents.

Main changes in the eDocLib platform and Asset Business configuration of version 2.6.1:

  • the functionality of management of documents considerably simplifying work with documents. Now the procedure of creation, editing, and removal of documents became more transparent and convenient.
    • So, for example, when filling the fields which are links to the reference book "Contact" there was a possibility of the choice of the current user and also an opportunity to be switched between contact search modes in the organization or in others by one click. There was a possibility of setup of notifications for e-mail on new events in discussion of the document. Process of creation of the same documents is simplified.

  • document flow processes are optimized. Changes concerned logic of work with business processes.

    • from the basic - concepts of the "closed" document or order are entered. In the resolution (and the draft resolution) it is a possible to specify contractors and officials to whom the resolution is sent for data. The possibility of canceling of the issued order is implemented, reference books are added, additional details are entered into RK of instructions, new commands and functions are added, the system of purpose of the rights to deputies is improved.

  • search opportunities, due to use of new search operators who can be set for details of all types are expanded.

    • search in existence or lack of values in details Is entered that allows to check correctness of registration of the document quickly. The additional settings of the user allowing to limit to a certain period the volume of documents among which search is run are added.
    • the feature for export of search result to Excel Is added.

  • possibilities of systematization of documents are added. Settings of routing of documents in folders became more flexible.

    • In particular, settings of personal folders are expanded, the feature for automatic removal from the folder of the closed instructions is added. There was a possibility of tabular display of contents of folders that it is convenient for such documents as the Account, Agreements, etc.

  • the opportunity for work from mobile devices is implemented. Using mobile devices work of the user on the most demanded scenarios through special applications is possible: iEOS (iOS), EOSmobile (Android) or "automated workplace of the Head" (Windows).
  • reorganization of personal folders of the user in a system "is executed by eDocLib: An asset Business" thanks to what work with personal folders became even quicker and more conveniently.

The company declared release schedules of the updated integration module with MS Outlook. In the new version of the module there will be a possibility of synchronization of calendar events Asset of Business with an outlook calendar, an opportunity to enter reports on synchronized tasks directly from the MS Outlook interface.

2011: eDocLib: Asset Business 2.5.3

On September 27, 2011 the new version of the application solution eDocLib is released: Asset Business 2.5.3. In the new version of the solution optimization of screen forms and a personal working space on the basis of practice of use of a system at our customers was executed.

A set of base types of documents is expanded the Personnel document which is specially optimized for accounting and approval of orders, orders and other documents on staff.

The functionality block connected with customer relationship management (CRM) and customer service is significantly expanded.

The module of integration eDocLib gained development: An asset Business with MS Outlook and mobile devices. Here the main completions were directed to performance improvement and conveniences of work with the module. Full compatibility with MS Outlook 2010, including embedding of commands in a tape of the menu is provided.
