Implementation of 1C: Document Flow 8 in "MTs NTT Rostelecom" is complete

In the company own workflow system developed by the programmers was used. This system automates processes, electronic document management (EDMS) (approval, a statement, etc.). Unfortunately, the company management had claims to work of this system. Besides, this electronic document management system for the support requires keeping of staff of highly paid specialists as it is created by their own forces.

For these reasons the decision to create a new electronic document management system based on the 1C: Document Flow 8 software product which corresponds to the majority of the stated requirements was made.

The main pluses of this program are:

  • 1. Software "1C: Document Flow 8" is completely integrated with that information system which specialists of ours develop for "MTs NTT Rostelecom" based on software "1C: Manufacturing Enterprise Management".
  • 2. Software "1C: Document Flow uses the same licenses for additional jobs, as software "1C: Manufacturing Enterprise Management" in work, i.e. there is no need to buy additional licenses as users of the main IC and EDMS same.
  • 3. The cost of ownership and maintenance of this system is significantly lower than the cost of ownership of the existing system. Besides it is easier to find 1C programmers for creation of an internal support service, than programmers for maintenance of a "self-written" system.

Implementation of software "1C: Document Flow 8" will help with solving of tasks on accounting of documents, automation of interaction of employees, control of performing discipline, the analysis of document flow:

  • Accounting of the entering, outgoing and internal documents and citizens' appeals;
  • Maintaining agreements and accompanying documents to them;
  • Automation of key business processes – consideration, execution, approval, a statement, registration, acquaintance;
  • Use of time in completion dates of processes;
  • Control of performing discipline;
  • Storage of files, their collective editing and control of versions;
  • Differentiation of access rights on document types and roles;
  • An opportunity for work with the electronic digital signature;
  • The automated loading of documents from e-mail and from the scanner;
  • Maintaining archive of the organization;
  • Full-text search for any data;
  • Maintaining statistical reporting;
  • Accounting and analysis of working time of employees.

Also a system will allow to keep account and registration of the entering and outgoing correspondence. At the same time registration numbers will automatically form.

All documents in a system will be stored in folder structure taking into account access rights, it means that in each folder permission to accomplishment by users or user groups of different transactions will be established: readings, adding, editing or removals.

Registration of the document (for example, agreements) will be followed by the following processes:

  • Automation of the procedure of consideration of documents and the subsequent setting on control, the notification of contractors;
  • Support of the regulated completion dates of documents;
  • The subsequent report generation on receipt and execution of documents, according to expired documents.

Implementation of this software product will allow to organize the unified information system covering the main objectives on accounting for different categories of users.

Project Results

On December 20, 2013 the company Absolyut-Soft announced project completion of implementation EDMS 1C: Document Flow 8 of century "HTT MTS".

  • Invoices for payment
  • Orders
  • Memos
  • Outgoing letters
  • Requests for rendering services
  • Customer complaint.
