Group "Walk about" completed updating of EDMS

The system integrator the company Syntellect started project implementation of implementation EDMS Docsvision 5 in agroholding "Group "Walk about", the press service of integrator reported on December 12, 2012.

Objectives

The project of business process automation of group will become the first project of similar scale on the Docsvision 5 platform. To a system it is going to connect 60 enterprises, 4 geographically distributed points (divisions). As a result, access to Docsvision will be configured for one thousand employees of the company. By the time of start in commercial operation a system will process 400 simultaneous connections, further — 700. According to vendor data of a system for September, 2014, the total number of users of a system reached 2500.

Stages

The project will be performed during 2013.

In the first quarter 2013 it is necessary to configure all fixed functions of office-work: processing of the entering and outgoing documents, approval of internal document flow — orders, orders, powers of attorney, memos, constituent documents. The volume of the internal organizational and administrative documentation passing through a system will be about 1.5 million units a year.

On the basis of Docsvision process of tendering process and approval of purchasing requests which will allow to trace all lifecycle of process will also be configured: from creation of the purchasing request, before control of execution of the request and its payment.

Using a new line of mobile jobs to company management access to a system from mobile devices and iPad tablets will be organized. The functionality of such workplace allows to browse documents, to approve, create instructions and tasks.

The first stage is completed

The system integrator "Syntellect"(Syntellect completed the first stage of the project on system implementation of electronic document management on the Docsvision 5 platform in agroholding "Group "Walk about", the press service of the company reported on June 25, 2013.

The basic office work business processes of holding are brought into commercial operation:

• registration of the entering and outgoing documents,
• control of execution of instructions,
• memos,
• approval of organizational and administrative documents,
• processes of approval of agreements and payment.

New systems capabilities of Docsvision 5 allowed to set up the convenient, beautiful and functional solution for rather small term for the project of similar scale: the first stage within which all basic office work business processes of Group were brought into commercial operation "Walk about", it was implemented for only 4 with small month".

Expectations

In a project deliverable the agroholding will receive a powerful end-to-end system of management of internal processes of document flow and control of working discipline.

Alexander Krasnov, the deputy CEO for IT of JSC Group RAZGULYAY, noted: "With system implementation we will receive a single platform for automation and structuring business processes within all enterprises of holding. It will allow to reduce, on the one hand, considerably time for processing and approval of the requests and documents passing all levels of management — from the enterprise to management company, and with another, we will receive the flexible tool for fast adaptation of our business processes under the changing business needs".

Product update

On July 16, 2014 in agroholding "Walk about" the successful project of updating of the version of EDMS on Docsvision 5.2 is complete.

The works on transition EDMS Docsvision in agroholding "Walk about" on the version are completed Docsvision 5.2. Within the project high-speed performance and stability of a system are increased. In a system 700 users work, further development of its functionality is planned.

Need of maintenance of an electronic document management system of Docsvision for current status and preparation of optimal base for expansion of functionality, the company management made the decision on transition to the version of Docsvision 5.2. Transition to Docsvision 5.2 was preceded by a stage of works on increase in operability of the current version of a system for the purpose of achievement of indicators necessary for the company. Further development and optimization on version 5.0 were very labor-consuming as the Docsvision system from version 5.0 to version 5.2 underwent many changes.

Transition to Docsvision 5.2 is complete in May, 2014.
