The central tea and coffee company is created in 2003, is a producer and the supplier of tea and grass mixes, the supplier of the Italian coffee mixes and the coffee equipment to the hotel and restaurant sector, offices. The company is a producer of trademarks of tea: TEA&CO tea, CON TEA tea, imported to the European countries, America and other states.

The BIT company completed an implementation project of the 1C: Integrated Automation 8 program in the Central tea and coffee company. As a result it was succeeded to reduce time for preparation of the regulated and management reporting, the quantity of errors decreased. Thanks to separation of sales on bonus and normal and to their accounting at payroll to managers, costs of the company for compensation were reduced by 10%, the profitability of the enterprise increased. In total 10 jobs are automated.

Project Description

Earlier for conducting the regulated and management accounting in the company the information system which was not allowing to create quickly managerial reports for heads was used. There were difficulties by preparation and delivery of tax statements. Because of a large number of nomenclature positions of products, settlement process of cost of sales was complicated. Besides, for the purpose of increase in control over profitability of the company it was required to calculate cost value on normal and bonus sales separately.

The company management made the decision on implementation of a new information system which would allow to solve all assigned tasks. As the software product the solution "1C: Integrated Automation 8" was selected. The BIT company having experience of automation of the trading companies became the partner in implementation.

Main objectives of automation:

  • the organization of the detailed cost accounting;
  • conducting management accounting;
  • formation of specialized managerial reports for the management;
  • reduction of number of errors when forming of the regulated reporting.

During the project activity of the following departments was optimized:

  • Accounting
  • Settlement department
  • Personnel department
  • Finance division
  • Sales department.

In a standard configuration transaction types were added to the document "Sales of goods and services" for reflection of specific bonus sales. Additional cuts of analytics for reports on delivery, additional intra-corporate printed forms of documents are added (in particular, the Route sheet), additional sales reports, on settlement with partners, at cost sales on managers and the salary are added.

Main project deliverables:

  • Time for preparation of the regulated and management reporting was reduced, the quantity of errors decreased;
  • Thanks to separation of sales on bonus and normal and to their accounting at payroll to managers, costs of the company for compensation were reduced by 10%, the profitability of the enterprise increased;
  • Labor productivity of the employees working in the program increased, in particular, need for additional workforce recruiting for financial service disappeared.
  • The reports forming on all necessary cuts allow the management to react quickly to state change of affairs and to make effective management decisions for further business development.

In total 10 jobs are automated.
