Federal State Unitary Enterprise Sibirskoye the FPS OF RUSSIA develops the system of electronic archive

The Atlas Soft company completed an implementation project of electronic archive of documents in Federal State Unitary Enterprise Siberian of the Federal Penitentiary Service of Russia, the press service of the company reported on August 5, 2013.

Project Background

The main task in Federal State Unitary Enterprise Sibirskoye - creation of a system of reliable storage and quick search of the necessary information on a request of partners and regulatory authorities. The purchasing department which often faced problems of search of the stored documents acted as the initiator of creation of electronic archive. All accounts, acts and consignment notes, for many years of work, were systematically collected in storages. Any request for issue of the original document occupied a considerable period.

Project Progress

The management made the decision on transfer of storage of documents of purchasing department in an electronic form, thereby solving a problem of reliable storage and quick search, obtaining the original document.

At the first stage of creation of archive:

• the structure of archive is created;
• the regulations of formation of nomenclatures are set;
• settings of automatic naming, placement and numbering of the documents registered in archive are made;
• tuning of cards of the registered documents is performed;
• all necessary reference books are created and brought to a system;
• rules of obtaining necessary reports on work with archive are registered.

Project Results

Result of implementation of Etla archive: receiving quick remote search of the necessary documents, both on their attributes, and on document contents, full control of the issued originals of documents, reduction by 7 times of term of issue of the document.
