Siberian Industrial Alliance (Electronic archive ETLA)

The Atlas Soft company jointly with specialists of Nova Group company finished an implementation project of electronic archive in Siberian Industrial Alliance. As the platform for electronic archive the ETLA archive was selected.

The specifics of activity of the company are connected with large volumes of paper documentation, access to which it is necessary not only to differentiate strictly, observing confidentiality, but also to provide online access to any section of storage with a possibility of issue as electronic reference according to each separate document or the document list, and the original of the document. For this purpose during implementation the module Archiving which is intended for the organization of accounting of storage and issue of originals of documents will be set and configured.

The system of electronic archive ETLA attracted, first of all, with such qualities as flexibility in approach to setup and adaptation of a system, lack of restrictions for types of the stored documents and a possibility of the organization of card files with any object types. Existence in the systems of mechanisms of accounting of storage and issue of originals of documents was also very important factor.

In the course of system implementation of electronic archive ETLA at the first stage specialists of Nova Group company performed the following works:

• user groups are created and access rights to documents are appointed;
• according to the nomenclature of affairs folder structure of a tree storage of documents is created;
• according to the solution of the Customer rules of the automatic name, placement and numbering of documents were configured;
• backup procedure of the database and base of documents of the Customer is configured;
• the module of control over functioning systems and the module of integration into third-party applications are installed and configured;
• for ensuring fast work on slow data transmission channels the local caching server was installed.

At the second stage works on setup of the module archiving will be performed:

• the structure of a warehouse of storage of originals of documents will be created and brought in a system;
• the request form on issue of the original will be configured;
• automatic interaction of archiving and electronic archive at placement/issue of affairs will be configured;
• work with delivery inventories will be configured.

As a result of implementation of electronic archive with the module archiving the Siberian Industrial Alliance will receive full control over all documents of the enterprise, as over originals, and their copies.
