On July 28, 2017 the ELMA company announced that the Ural bank Neiva implemented the project of transition to the version BPM- ELMA systems 3.9 for management business processes.

Initial implementation

The first version of the ELMA system appeared in Neiva bank in 2010.

During implementation together with colleagues we implemented a large number customized (the centralized reference book by clients, the credit pipeline, integration into the core banking system) and standard solutions — for example, work with memos, orders, delivery notes, agreements. Then we suspended expansion of functionality. In IT structure ELMA existed separately. Purposes of transition to version 3.9

In 2016 Neiva began the project of transition to the new version of IT solution. Increase in efficiency of internal business processes, integration of ELMA with other information systems of bank, creation of uniform storage of documents, optimization of setup of access for users to data and dynamic forms of tasks, introduction of ORM technology became main objectives of updating.

Updating course

The implementation project of version 3.9 took 3 months. During this time commands of bank and developer of a product implemented both the standard, and customized functional solutions. About 40 business processes are updated and configured, the data archive is transferred, individual assembly of a system is executed.

We optimized display, registration and routes of the movement of documents, integrated ELMA with the banking accounting system, improved interfaces and forms of tasks of users. About 40 processes, including in office-work — work with the entering and outgoing correspondence, agreements on business activities, different agreements, personnel documents are automated. There are blocks on preparation of references for clients, the organization and information resource management of bank — Artur Novruzov, the director of the department of information technologies of Neiva bank told. — We think using ELMA for automation of electronic storage — unstructured scans of documents (affairs of our clients). It is rather inconvenient to manage them: there is no version control and simple search. Perhaps, in the future we will implement CRM. The BPM technology allows to implement any processes in a system

According to the results of audit of types and forms of electronic documents the following processes of EDMS were implemented: requests, office (reports) notes, orders, letters, orders, agreements, credits, regulating documents and requests for the power of attorney. A system is integrated with the core banking system where the base of partners of bank is stored, and ensures to the employees convenient functioning with different types of data.

On a response of the customer, specialists of Neiva bank quickly oriented in work with the new version. At the moment the number of users of ELMA is 350 people.

In plans of the management of Neiva bank — increase in number of licenses and expansion of a scope of the IT tool: implementation of new processes, adding and completion of routes of the movement of documents.
