"Krylov state scientific center" implements EDMS

On June 10, 2014 it became known of an implementation project in Federal State Unitary Enterprise Krylov State Scientific Center of the system CompanyMedia on the IBM Domino platform. Integrator in the project InterTrust company.

Project Tasks

The decision on system implementation of automated management of documentary processes was made by the management of Krylov state scientific center in 2012. Basic reasons of initiation of the project:

• excess costs of time,
  • processings and deliveries of managerial documents,
  • information search,

• risk of loss of documents and contractual documentation,
• repeated creation and duplication of documents,
• inopportuneness of delivery and execution.

Key project objectives:

• transition of the enterprise to electronic document management,
• control of execution of documents and instructions,
• automation of standard business processes
• creation of mechanisms of collective work with documents taking into account role functions.

Development and deployment of a system was implemented by specialists of InterTrust company.

"When choosing the contractor and the software product we were guided by several criteria, including, presence at the supplier of real work experience with government institutions, IT solution opportunities in a support area of the geographically distributed organizations, support of the certified means of cryptoprotection of information — Alexander Kulikov, the deputy CEO for information technologies of Federal State Unitary Enterprise Krylov State Scientific Center noted. — During the first stage of the project specialists InterTrust conducted information examination, the instruction and the regulations for electronic document management are developed and approved, the CompanyMedia system for 250 users is implemented. According to the results of the second stage the number of users increased to 500. Today using a system processes of work with contractual documentation are optimized, such functions as centralized accounting of documents and effective distribution of responsibility, control of execution of instructions are implemented".

Project Progress

Within development of a system works on the organization of the protected document flow on the basis of CompanyMedia Locker service are conducted, implementation of add-on modules and mobile jobs for heads of Krylov state scientific center is planned.

"Among the main objectives of the third stage which is in implementation phase it is possible to call replication of a system — connection of additional jobs, increase in number of users up to 2000 — Vadim Ipatov, the deputy CEO for business development of InterTrust company emphasized. — One more major problem on which we work is integration of CompanyMedia into the software products 1C intended for automation of budgeting, managerial and personnel records, maintaining contract activities. Also implementation of the module CompanyMedia for preparation and holding meetings and meetings is planned. All this will allow to solve a key problem of the customer — to create a core of an end-to-end system of enterprise management".
