1.1. The industries in which the company works

Consulting (including control automation and business training). The INTALEV group is the international consulting company specializing in implementation of modern management systems. The company is one of leaders of the Russian market of consulting and automation in the field of strategic, process, financial management.


1.2. Territorial Distribution

Offices "Intalev" are located in all Federal districts of Russia and also in Ukraine and in Kazakhstan. The partner network includes the companies from Russia, the CIS countries, Asia, Eastern Europe, South Africa.


1.3. Number of Staff

About 250 employees working at the central office. Users of a system are more than 1000 Companies and tens of thousands of specialists.

  • Internal consultants of the Company
  • Consultants of a partner network
  • The external users of software of Intalev (who are in remote regions and new users who only begin to get acquainted with software products)


2. Solved Problems / Assigned Tasks


2.1. Business Requirements For Implementation

The main objective – satisfaction of educational needs of users of software products INTALEV irrespective of their space and temporary arrangement in relation to "the place of dislocation" of consultants.

And also:

  • promoting of software products INTALEV (transfer to users of knowledge of functionality of software products, consultation on use of software)
  • formation of necessary professional skills at consultants and partners for setup and use of software of INTALEV Group.


2.2. What business processes had to be automated (assessment, training, personnel recruitment, the expense accounting on training, etc.)

  • Training of remote users of the software in skills of work in the used software product
  • Control of results of training
  • Informing users on new solutions and techniques of conducting management accounting of the company
  • Accumulation and preserving of knowledge (creation of library of examples, videos, presentations, articles, etc.)
  • Feedback from users by holding polls and votes
  • Carrying out on-line of seminars and video conferences


2.3. Criteria of Successful Implementation at the Planning Stage

  • Availability of the portal in all partner companies
  • Intuitive interface of administration of the DO portal
  • Simplicity of work on the portal
  • Automation of the routine work connected with conducting testing, polls, preparation of reports, etc.


2.4. Project Planning (Requirements, Analysis of Business Processes).)

Formation of the project began with determination of the purposes, audience and tasks to which solution should lead opening of the educational portal. On the basis of it the technical specifications on the project were made. Considering the large volume of information, came to a conclusion that not to do without special tools.

Search of the software, for creation of the DO system and a corporate educational portal by the criteria and characteristics selected earlier and also search of the software for development of rates of DO began. Software products of WebSoft company were as a result selected: WebTutor (SDO) and CourseLab (the editor of rates) which except implementation of the main objectives, provided a possibility of rapid development of rates thanks to existence of ready templates and libraries of ready objects and also a possibility of setup of corporate design of the portal.


3. Project Parameters


3.1. Terms of Implementation and Milestones of the Project

Writing of terms of reference - December, 2006 The approval of terms of reference and purchase of software for development of rates (CourseLab) - February-April, 2007 Development of rates - since April, 2007 Purchase of software for the organization of the educational WebTutor portal - the end of 2007 Execution of the portal according to corporate standards, filling by its content, loading of user base, a security setting - since January, 2008 Start and test operation of the portal – since April, 2008 Input of a system in commercial operation – since September 1, 2008


3.2. Project Team on Customer Side (from IT and grom HR). Roles in the Team, How the Interaction Took Place

  • The head of support group of users – the system administrator
  • Internal consultants (5 people) – preparation of methodical materials of rates and tests
  • Developers of electronic rates – 3 persons
  • IT the specialist – part-time employment when installing a system


3.3. The Main Difficulties During the Project

  • Transformation of training materials into content of electronic rates. There were difficulties during creation of the first electronic rates since was not before such experiment on the organization of training materials in a format of slides of remote rates.
  • Control of user training. It was found out that in the absence of control of the training course users quite often did not take training courses up to the end. It turned out that they should be sponsored, controlled, reminded them of incomplete rates – in this case they successfully complete the training.


3.4. Did the Time and Financial Costs Correspond to the Previously Planned

Finance costs corresponded. And temporary exceeded earlier planned, because of prolonged development of rates (waited for a release of the new software product and it did not make sense to write an old product rates).


3.5. What restrictions of IT infrastructure affected the project

The first developed rates too long were loaded since in them there were many materials + pictures + a sound. When in an effect began to divide rates into smaller parts, this problem disappeared.


4. Project Development


4.1. Development plans (what automation of business processes is still planned)

  • Use of the Educational portal for holding web conferences and webinars using technology of the Virtual class
  • Further intensive development of rates and tests
  • Expansion of the knowledge base, replenishment by its new examples, articles, etc.
  • Maintenance and addition of resident instruction with remote
  • Automatic collecting of responses about the held training events, including electronic rates
  • The organization of exchange of experience between partners, carrying out on-line of conferences thanks to the mechanism of forums and chats


4.2. Filling With Content - How to Solve the Problem

Electronic directions rates are developed:

  • According to software products
  • By techniques of formalization of business processes

All rates are developed by own forces of specialists of the company.

Development of rates happens as follows:

  • Script writing to a rate: theoretical and practical part
  • Implementation of a rate
  • Implementation check
  • Correction of implementation
  • Preparation for the publication on the portal
  • Publication


4.3. Team to Support and Develop the System

In total about 12 people are involved in the project

  • The administrator of the portal – provides access to the educational portal, sends notifications, publishes news, maintains operability of a system
  • Developers of electronic rates – 3 persons
  • The specialist in creation of videos with specific examples
  • Internal consultants (experts) – preparation of methodical materials of rates and tests
  • The systems analyst – part-time employment at the solution of technical issues


5. Project Results


5.1. Results (Quantitative And Qualitative)

  • The educational portal is put into commercial operation and is open for external users, within service of technical user support
  • On the portal 31 rates on software products of the company are already published
  • Surveys and votes, for the purpose of feedback from users are regularly taken
  • For the first half a year of work of the portal 520 cheloveko-rates (170 cheloveko-tests) are passed
  • Availability of software products of the company since process of mastering by users of these programs is facilitated increases (thanks to electronic rates, library of videos and the knowledge base)


5.2. Economic Efficiency

  • Promotion of a technique, market expansion - any person the having Internet connection can be trained now according to software products of the company from the computer is not dependent on its location
  • The training cost of users fell (earlier the curator had to be engaged personally in training of new users)
  • Learning process control
  • Informing on the held internal paid events receiving an additional income


5.3. The Most Significant Results Are Something Most Notable

Promoting of products of the Availability of the Educational Portal company to external users within technical support since experience showed that software users who earlier (before opening of the portal) studied work with the program independently often did not suspect about all its functions and used them far not completely


5.4. Reaction of Staff of the Company on System Implementation

Very positive, no difficulties with use of a system neither at employees, nor at partners, nor at external users arose, dissatisfied was not.


5.5. A feedback from heads (the company and divisions) according to the results of system implementation

System implementation was the idea of the General director of the company which he brought from an exhibition in Germany. In this connection, the project was in every possible way supported by the management. And system implementation met expectations of the management!
