2017: Implementation of mobile management
On March 17, 2017 the MiTek company announced implementation of mobile process management in JSC Slavneft-Megionneftegaz using Directum Solo.
Eventually in JSC Slavneft-Megionneftegaz the question of remote control processes in the time spent of heads appeared in business trips and at business meetings. It was required to provide online access to necessary documents, folders, Directum system tasks out of a workplace, including in offline mode in the absence of connection to the Internet.
The MiTek company suggested JSC Slavneft-Megionneftegaz to solve an assigned task through Directum Solo implementation – mobile office of the head. The offer was approved.
With start in industrial use Directum Solo allowed top managers to control all key business processes of the company for 100% and also provided the continuous movement of works due to operational consideration of the arriving tasks and documents. The application covered all key routes: processes of office, ORD, citizens' appeal, work with contractual documents, approval of plans for tender procedures, setting and control of instructions. About 30 heads will use the mobile solution. All processes on the IOS platform are already configured, completion for Android is conducted.
2016: Implementation continuation
Implementation of EDMS increased transparency of contractual process and provided the necessary security level of documents. JSC Slavneft-Megionneftegaz (JSC SN-MNG) is modern oil-and-gas production enterprise with the developed production infrastructure.
Active development of new fields, growth of oil production led to increase in volume of document flow. For quality improvement of interaction of employees and also relying on practice of the Russian business and standards of corporate management, the management selected an electronic document management system of DIRECTUM. It as much as possible satisfied to problems of scalability, and the powerful ECM platform adapted for business processes and experience of implementations of vendor and partners in an oil and gas sector validated the solution. As the contractor the general partner of DIRECTUM – MiTek LLC company acted.
In the fall of 2013 works on implementation started. The first stage of the project was conducted in two most significant directions – automation of work with contractual documents and creation of electronic archive. Business processes on formation, approval and registration of contractual documents, their scanning, control of return and transfer to archive were as a result automated. Protection of agreements using mechanisms of initialing, barcoding and use of the electronic signature (ES) is provided. Integration with the personnel Personnel system by employees, positions and an organization structure and also with the ERP system of SAP by agreements and partners is configured.
Having felt effect of the performed works on implementation of EDMS DIRECTUM, the management of the enterprise made the decision on the beginning of the second stage of automation which purpose was an automation of the following business processes:
- processes of office (consideration of incoming documents, preparation, approval, registration and sending outgoing letters, execution and control of instructions);
- work with organizational and administrative documentation (development, approval, registration, execution and storage of orders/orders and memos);
- processes of preparation and holding meetings and also recording of results and control of execution of the made decisions;
- registration, consideration, execution of citizens' appeals and organizations;
- giving, approval and execution of purchasing requests, including processes at the choice of the partner;
- work with documents, tasks through the web client.
In a common information space of DIRECTUM about 1000 employees of the enterprise will work.
In plans of the company development and expansion of functionality of a system, including implementation of business solution "Management of performance indicators" which will allow the management to work with quantitative estimates of business processes of the organization, to accumulate statistics and to visually display it on a control panel.
2016: Project Development
In 2015 the enterprise issued 2.5 thousand purchasing requests and the large volume of the accompanying documentation collected. Purchase management of the company covers 800 users in 14 territorially spaced branches and includes a set of controlled parameters:
- adherence to deadlines of submission of requests and requirements;
- timeliness of signing of the contracts;
- percent of execution of requirements and requests;
- efficiency of contracting;
- percent of carrying out competitive purchases;
- impact of inflation.
Financial risks in combination with features of holding a procurement procedure at the enterprise and high labor input of preparation of analytical reports promoted making decision on process automation.
Experts of MiTek company jointly with specialists of JSC SN-MNG carried out the detailed analysis of purchasing processes of the enterprise. Based on a research to the customer the solution "Purchase management" developed on the basis of business solution "by DIRECTUM was proposed : Management of tenders".
As a result of implementation the customer gained the effect exceeding expectations:
- accuracy of calculations of the amounts of requests and requirements;
- transparency of procurement procedures;
- complete design of all document types;
- observance of internal regulations of holding procurement procedures.
Implementation stage result
Implementation of the module "Purchase management" allowed to look in a complex at all process of purchasing activity and to estimate what separate stages require optimization. Within an implementation project some regulations are updated, at the same time, the Directum system became the convenient instrument of control of their observance. The human factor of errors in calculations or incompleteness of the provided documentation is excluded.
Specialists of MiTek company jointly with specialists of JSC Slavneft-Megionneftegaz developed the reports allowing to keep track of the status of the actual execution of purchasing requests and to analyze a vista shot of purchases. Time of their formation was reduced.
For February 15, 2016 the solution "Purchase management" is transferred to production operation.
