Softline: WorkFlowSoft.Tasks for Office 365

WorkFlowSoft.Tasks is a system for the organization of work of employees in the company.

On August 20, 2014 the Softline company announced release of task management system and orders of WorkFlowSoft.Tasks.

A system is integrated with the software package Microsoft Office 365 and is held for use in corporate environment of any scale.

The WorkFlowSoft.Tasks tools support more than 2 million tasks and more than 20 thousand users. As a part of the solution means of filtering, sorting and search of tasks work. Search is possible on a set of letters or words, on completion date, the name, the contractor, the author. Each task is available to detailing according to subparagraphs, appointments to a user group, determinations of the controller, the collaborator or the observer. The opportunity for work with the groups integrating employees by different criteria to signs whether it be a position, separate department of the organization, territorial placement, etc. is provided.

The functionality of Office 365 provides start of WorkFlowSoft.Tasks at desktop workstations and any mobile devices. The solution works in the browser and does not require installation of special applications.

List of employees

When using Office 365, it is not required to bring manually the staff of the organization - the special mechanism of synchronization will make automatically will make it. WorkFlowSoft processes information from the Office 365 profiles and builds on the basis of it structure of the organization.

The WorkFlowSoft settings allow to load into the system of new active employees which appeared in Office365 profiles even after primary synchronization of data was made. The new appeared employees will be added to a system one after another until it allows the purchased license.

All staff of the company with the main information on themselves is presented in the list of staff of WorkFlowSoft: avatar, full name, division, position, e-mail. Chiefs of divisions in the list are mentioned by crowns.

It is possible to look separately at a card of each employee where the complete information about it is shown.

Groups

All staff of the organization integrates in groups. WorkFlowSoft automatically creates the Structure of the Organization group in a lock-up time of users in a product. It is possible to add the groups integrating employees on unique signs: skills, territorial placement, etc.

Each group can have only one parent group and some child subgroups. In any group there is always a responsible designed to solve disputable situations which can arise in work of this group.

Tasks

The module "Tasks" allows to organize the current work in the organization.

In the list it is possible to use convenient filters using which it is possible to find easily from a set of tasks that which it is necessary for you to tasks.

It is possible to appoint tasks both to specific employees, and to the whole groups if the initiator of a task is not confident in the one whom it is worth appointing the contractor. At purpose of a task to group the contractor in this group itself will take a task or the head of this group will appoint responsible personally. Anyway – the task will be solved just in time.

In WorkFlowSoft the system of notifications works.

On each of tasks it is possible to look at detailed information: the description of what it is necessary to make, date of start of a task, date of its end, a detailed plan of works on a task, the contractor, collaborators, observers controlling and other persons belonging to this task. It is also possible to read all comments left by all participants of this task.

WorkFlowSoft has the adaptive interface that facilitates its use on the screen of the personal computer and on mobile devices.

New version of WorkFlowSoft

On November 18, 2014 the Softline company announced release of the new version of the application ^[1].

According to developers, the new version of the solution is equipped the system of subtasks, delegation opportunities, emergence of a new role and the optimized interface.

Version new products

• The system of subtasks - the main innovation of this version of a product. It supports several levels of investments, at the same time all participants of problems of the top level automatically acquire the rights of observers of lower. It gave the chance to integrate several small subtasks in one big and to control their accomplishment. Besides, selection of big tasks in the project became useful addition in the new version.

• The delegation mechanism - one more innovation in WorkFlowSoft. With its help the tasks appointed to the contractor are transferred.

• New role - the head. If necessary the user with the rights of this role can come into a task of the employee and perform in it any operations instead of him.

• The interface of tasks in a product is improved. Their representation became more compact, all information is visible at once. "Comments" and Change history are separated into different tabs for convenience of reading. Accounting of the time zone will be useful to geographically distributed companies to more harmonious work of employees. It allows to see at the same time the term of accomplishment of a task in time zones of the author of a task and the contractor.

• More flexibly setup of notifications works, there was an integration of tasks with the system of universal communications Microsoft Lync that gives the chance to call or send the message from a task or the employee's card.
