Softline helped "to Ulan-Ude Energo" to transfer all employees to the cloud version of Office365

On September 3, 2018 the Softline company reported that having returned users from the open sourse office suite on the usual solution of Microsoft in its cloud version, management of information technologies "Ulan-Ude Energo" reduced one-time costs of implementation five times and also had an opportunity to use Office365 actually free of charge within one month. The customer can apply a possibility of suspension of action of accounts, noncritical in terms of business, for the term of the holidays of employees and for public holidays for 40-45 days a year on each account.

Choosing a Solution

The problem of ensuring license purity of jobs "Ulan-Ude Energo" led the customer to free software products. Obvious economic effect of implementation - does not need to be paid for licensing of 180 jobs of specific department – could not compensate the technical issues connected using this solution. For several months of UIT of the customer received a large number of addresses from users - the staff of the enterprise - which complained of incorrect work with the files prepared in Microsoft Office applications. Technical issues considerably slowed down work of department of economy and finance "Ulan-Ude Energo" and interfered with operational preparation of the reporting. Management of information technologies instead of the works connected with development of an IT component of business it was forced to be focused almost completely on problem solving of users.

For search of the solution the head of department of information technologies "Ulan-Ude Energo" addressed to Softline. In addition to the task connected with search of alternatives to the free office suite, it was offered to consultants of Softline to find the suitable solution for the joint communications. The customer intended to implement the uniform cross-platform means of communication for heads of an average and the top management which supports audio-and video calls, text messages and file sharing, to protect it means of information security and thus to prevent the risks connected using not standardized and unprotected solutions. Wishes of the customer were answered by a packet of Office365 which offers a usual set of office applications and also the built-in functionality of the joint communications.

Project Progress

The customer was drawn towards use of classical, not cloud software. However financial calculations showed set of benefits which can be received from the solution from a cloud. The start of the project on return of users to the usual Microsoft Office environment when choosing a cloud solution will cost five times cheaper – it is not necessary to redeem nearly several hundred licenses at once and to buy the separate server for Skype for Business. At the disposal of the user there will always be current version of the office suite. As a part of Office365 there is Skype for Business using which the problem of the organization of the joint communications is solved. Besides, in Office365 settings there is a functionality which allows to receive more service for the same money: it is possible to suspend licenses of specific users, say, for holidays or for the period of calendar holidays, and then to prolong use of Office365 for the corresponding period. Actually the customer receives more service from Microsoft for the same money.

The cloud solution of Office365 is attractive that in its structure all key products – including Microsoft Exchange, Skype for Business, to Microsoft Teams, etc. - are available right after purchase and are relevant in each timepoint.
