Elena Shelyastina: "A cloud LETOGRAF" will make modern technologies of corporate content management available to the organizations

Elena Shelyastina: Now SaaS of technology actively develop, the companies are ready to data storage and work in public clouds. At the same time we accumulated considerable experience of creation of private clouds of EDMS for corporate customers. This real practical experience allowed us to define a set of functionality of the workflow system which will satisfy up to 90% of all of the needs for management of corporate data existing at the organizations.

These premises also formed the basis of the decision on start of a cloud service which should provide the most convenient access to modern ECM technologies to the most wide range of the organizations of the most different scale. Use of a cloud service will allow the companies or the working groups to begin quickly work in EDMS without need to implement long process of system implementation of the corporate level.

TAdviser: But for the user the cloud solution most likely will be a compromise? A concession in comparison with use of the full-function corporate version of a system?

Elena Shelyastina: It's not true. In fact for 90% of the organizations the cloud solution will close all existing tasks regarding work with corporate content. "A cloud LETOGRAF" prednastroyeno in such a way that in it all standard business processes of work with documents, files, tasks and mail can be effectively automated. The cloud solution is quickly and obviously configured according to organizational structure and business processes of the organization without involvement of IT specialists, thereby providing instant start of work. At the same time the web interface provides an opportunity for work from any devices in any geographical locations in the presence of network connection.

Possibilities of the organization of interdepartmental document flow for holdings and also document flow between the different organizations working in a cloud will become additional "bonus" for users. Well and in addition to everything, mentioned above, it is necessary to tell about the services integrated into clouds, such as Google services (a possibility of authorization using the account, connection of a disk as one of storages, an opportunity for work with documents), the mail systems, pattern recognition system of documents.

Important additional argument for benefit of a cloud for the organizations is reduction in cost of ownership in comparison with large corporate systems and at the same time the guaranteed ease of scaling (cloud EDMS of the organization easily extends, including remote branches and new divisions).

TAdviser: If to speak about 90% of tasks in the field of ECM which are decided by Cloud of LETOGRAF what corporate users of service specifically can make?

Elena Shelyastina: I am afraid if I begin to list all functionality of our service, we will be beyond this interview. However it is possible to select the main directions which automation is provided by Cloud of LETOGRAF.

First, it is classical document flow of the enterprise, including management of the entering, outgoing and internal documents, control of execution of instructions according to documents, work with electronic archive and the reporting under documents.

Secondly, it is automation of such standard business processes as contract management, management of meetings, the organization of work of technical support.

Thirdly, the integrated services which were already mentioned above, including file management, task management, management of messages and the organization of "cloud document flow" with other users of a cloud. The key moment is the ability to integrate all documents EDMS and the integrated services among themselves here, including accession of files or e-mails to outgoing and internal documents, sending documents EDMS or files via e-mail, transfer on approval, etc.

TAdviser: How do you imagine the main users of service who your target audience? And after all it makes sense to look to what organizations towards the corporate version?

Elena Shelyastina: Optimal use of Cloud of LETOGRAF will be for the organizations of small and medium business, divisions of the large companies and the working groups which business processes are rather standard and correspond to the main practicians of work with documents, tasks and files, i.e. the preconfigured business processes of a cloud. At the same time for the large organizations considering an implementation project of the high-customized and protected corporate version of a system, use of Cloud of LETOGRAF can be considered as a pilot project. Within trial implementation they will be able to estimate all main functionality, basic features of a system and further will make the decision on start of an implementation project of a system at the enterprise.

The main restrictions of the cloud version from the point of view of the user are standard business processes with limited opportunities of setup according to features of the organization, possibilities of customization of the interface, smaller in comparison with the corporate version, lack of ability to integrate with any external systems, restriction of service support with online requests.

TAdviser: As one of main advantages of a cloud you say a possibility of instant start of work. How does it really happen? What actions need to be performed to begin to work with cloud EDMS?

Elena Shelyastina: Access to the solution is provided online and will be open on the website www.letograf.ru. For work start the user needs to become authorized, having entered the login and the password, and it is possible to use data of the Google account. At the same time the full-fledged and effective work in a cloud is possible at Internet connection at the level of web surfing, the increased capacity of the channel is not required.

After login the user begins setup of the segment of EDMS according to an organization structure and business processes of the organization, entering the list of divisions, roles of employees, the main documents, etc. The first user actually becomes the administrator of EDMS, inviting in it other employees and connecting them to work in a system. The situation when the employee of the secretariat of the organization as no special IT skills for this work are required can become the administrator of cloud EDMS is optimal.

TAdviser: As I can be users and even system administrators non-management office employees, the particularly important becomes service support of the producer. How it is implemented in Cloud of LETOGRAF?

Elena Shelyastina: The system of service support is built in a cloud - users get access to the system of the electronic requests getting to technical support of LETOGRAF company. Requests are fulfilled routinely.

The additional tool is the built-in system of news informing users on the planned service works in a cloud and also notifying on start of new functionality.

Elena Shelyastina: Now Cloud of LETOGRAF is in a status of open beta testing. So far all interested organizations are invited to study possibilities of service and to begin to work for free in own full-function EDMS.
