UCL Holding implemented DocTrix electronic document management system

March 4, 2015. The international transport Universal Cargo Logistics Holding group announced system implementation of electronic document management of DocTrix Platform 2013. EDMS provided automation of office-work, contract activities and vendor interaction. Thanks to features of DocTrix the company had opportunities of independent creation of new business processes and completions of a system without involvement of programmers.

In 2013 Universal Cargo Logistics Holding (UCL Holding), including the largest railway operator of freight transportation in Russia, ports of the Northwest and South of the country, the Volga and Northwest shipping companies, made the decision on unification of processes of the movement of documents. Market research of the EDMS platforms revealed existence of a set of systems, however requirements of holding were met some.

Due to a variety of business processes of document flow of each of the enterprises project teams needed several months on inspection, building of the unified processes, writing of technical specifications to a system and also private technical specifications for separate modules. In April, 2014 EDMS DocTrix Platform 2013 was put into commercial operation. It includes the complete list of processes of office-work and contract activities, including work with partners, powers of attorney and also the intra group document management performed between the companies of holding. Important feature of DocTrix is the possibility of independent creation of business processes and schemes of document flow without involvement of suppliers or programmers.

As a result of successful implementation of DocTrix not only full automation of document flow is provided, but also accounting and control of all workflows is organized that allowed to optimize activity and to increase business performance.

Now the second stage of the project — replication of a system in two other companies of holding begins: JSC Seaport St. Petersburg and JSC Volga Steam Navigation Shipping Company. Replication assumes a full project stroke of creation of EDMS: from inspection and unification of processes before upgrade of a system and its implementation.

As a result the working group stopped on the DocTrix platform. After that a competition among suppliers was held. The i-Sys company became the winner of competition and the Contractor of an implementation project".

Thanks to successful results of the first (pilot) stage, the project of replication of EDMS in other companies of holding started", – Denis Lobashev, the project manager of implementation of EDMS, the head of department of corporate projects of UCL Holding management company explains. The first stage of the project included process automation in management company and also in two subsidiaries of holding: JSC Tuapse Sea Trade Port and Konteynerny terminal Sankt-Peterburg Ltd.
