On July 2, 2015 announced 1C-Rarus integrator the project of integration of a corporate system of the Russian division Volvo CE and industry solution of Alpha Car.
Project Tasks
Volvo CE needs to support continuous interaction with the main dealer, daily receiving and processing orders for the equipment. It is required to prepare and send quickly requests to the manufacturing plants, to control the status of accomplishment of orders, timely notifying the dealer on important events and dates. Volvo CE needs to control all process of delivery of the manufactured equipment to Russia, being engaged in its design at customs and placing on a temporary storage warehouse. After arrival of the equipment it is required to transfer it to the dealer, processing necessary documents and calculating order cost, conditions of its payment.
Volvo CE, 2014 equipment
"Ferronordik Mashiny" is an independent dealer of Volvo CE uses the Alpha Car system. The management of Volvo CE in Russia made the decision to adopt experience at the dealer.
For automation of operational and managerial tasks the company selected the fifth edition "Alpha Car" on the 1C:Enterprise 8 platform.
Project Progress
Before the project the software solution underwent certification in IT service Volvo regarding compatibility with a corporate system of holding.
Accomplishment of project works charged to a command 1C-Rarus: the contractor organized in Alpha Car work of 26 employees of Volvo CE - orders managers, logisticians, accountants, credit controllers and the business controller, heads.
Project Results
Alpha Car helps the Russian division of Volvo CE to import up to 2 thousand pieces of equipment annually, excepting misunderstanding in the course of acceptance and order placement, organizing transparent control of the goods delivery and exact calculation of cost of orders for the dealer. The company excluded use in work of volume tables.
For July 2, 2015 all orders received from the dealer are loaded into a new system in the automatic mode, not lost and quickly processed by specialists of Volvo CE. In a system all data on the ordered equipment are reflected:
- quantity,
- name,
- necessary characteristics.
Each order passes assessment in a system, its correctness is specified, predesign of cost value of the equipment is made. Time for receiving and verification of orders is reduced.
Integration with a corporate system of Volvo allows to send orders to production and to control terms of their accomplishment. Along with that, the Alpha Car system helps to create reports for the dealer by dates of production.
By means of the implemented technology the company had an opportunity to see an overall picture on a status of orders and deliveries at any moment.
Control of delivery of the equipment to Russia is exercised by specialists of the company in logistics. They timely monitor movements of finished goods, its arrival of customs, control order placement and delivery dates on warehouses in Russia. A system helps to organize execution of all documents on the equipment, to define the customs duty, the VAT, utilization collecting, to control use of services of brokers on a design. In a system the cost of delivery services, to registration and storage in a warehouse is calculated.
While the equipment placed on temporary storage warehouses waits for the dealer's representative, employees of Volvo CE using a system create a packet of necessary attendants sale of documents and calculate the final cost of goods which consists of several components. Alpha Car allows to consider different financial schemes of work with the dealer, including observance of corporate standards of pricing and also providing difficult discounts.
The maximum data transparency and correctness of documents and calculations is guaranteed. All documentation is made out many times quicker.
Information on payments from the dealer automatically comes to a system where it is checked by financial controllers. The companies it allows to conduct exact settlement with the dealer and not to allow exceeding of credit limits under agreements. A system helps the management to control results of sales, to analyze profit, a margin and volume of the provided discounts. The report which formed in tables earlier many hours because of data analysis from several systems, is generated in a couple of minutes today.
Oleg Nikitin, the business manager of Volvo CE in Russia, Ukraine, Belarus and Kazakhstan, told:
- Implementing solution based on Alpha Car allowed to increase efficiency of process of import and sales of the Volvo construction equipment in the territory of the Russian Federation. Having completed the project, we achieved an exception of fragmentation of data in different sources, excluded requirement of duplication of information, accelerated document flow and improved management accounting. Work in a single system
allows each employee to obtain information, necessary for itself: history and current order status, terms of its execution, profitability level, analysis of sales, etc. It became much simpler than a message search and tracking of orders.
