Content

On July 31, 2015 the EOS Group company announced the beginning of implementation in FBUZ "The Center of Hygiene and Epidemiology in the Kurgan Region" of a corporate content management system and interaction with personnel of eDocLib: Asset Business.

Project Tasks

The document flow accompanying primary activity of FBUZ provides execution of agreements on execution of works, test sheets and other documents.

The implementation purposes at the first stage:

  • automation of execution of the scheduled plan of laboratory researches,
  • automation of work with agreements and related documents,
  • formation of uniform base of the documents accompanying primary activity of organization.

Delivery of the software is conducted by KS-Consulting company, implementation of an ECM system - Businesstekhnologii LLC.

Project Progress

At the first stage of the project it was required to integrate all divisions participating in business processes (including laboratories) in a uniform circuit of document flow. A system with simple, the intuitive interface, implemented in short terms is necessary for the customer. It was required to integrate a system with the specialized software products existing in the organization.

The system offered by the contractor of the project eDocLib: Asset Business met requirements. This applied configuration is developed by Ltd company KS-Consulting on ECM- the platform eDocLib of the company EOS GROUP. A system allows to automate execution of instructions and tasks, work with agreements, office correspondence, documentary maintenance of internal activity (memos, requests and so forth) and has a number of additional opportunities.

Within this stage of the project work with documents is automated:

  • the agreement (on execution of works on carrying out laboratory researches). Using eDocLib: The asset Business will form the general agreement base which easily can be found according to details.

  • the estimate (contains the name of works, quantity and their cost). The general estimate made in organization includes works which should execute different laboratories. Further the estimate is split up for several "instructions", and each order using the specialized program goes to execution to a certain laboratory. This document will be unloaded in eDocLib from the specialized program.

  • protocol. Each laboratory makes the protocol in which results of check are entered. Protocols through the specialized program are sent in contractual department which means of this program creates the summary protocol of check, signs at the chief physician and transfers to the customer as a result of execution of works. This document will also be unloaded in eDocLib from the special program.

  • the account (it is exposed to the customer on the basis of the estimate, fixes the payment fact with indication of date and number of the payment order).

  • the schedule of laboratory researches sets a certain term for each laboratory during which it with the appointed frequency should carry out the corresponding inspections. The eDocLib tunings are performed in such a way that contractual the department fixes the diagram which can be adjusted for specific laboratory. Upon conducting check the laboratory adds the report. Also about conducting the next check by means of the eDocLib system: The asset Business of laboratory is received by reminders.

The customer purchased a basic set of the eDocLib system: Asset Business (10 full-function jobs), 5 jobs in addition and also 3 licenses for the DocAgent application informer. This application is intended for the notification of the user of eDocLib about the events which are taking place in its personal folders: receipt of new documents and changes in earlier browsed registration cards (emergence of new tasks, reports, etc.). The purchased eDocLib system jobs : An asset Business are intended for the staff of contractual department and specialists of laboratories.

Project Results

For July 31, 2015 the works on setup of a system are completed. Specialists of Businesstekhnologii LLC set eDocLib: The asset Business on the customer's server, was configured by reference books, edited rekvizitny structure of cards of documents, added accounts of users and configured access rights. In the nearest future a system will be brought into test operation.

Creation of the uniform documentary portal which will accumulate all documents accompanying activities of FBUZ for carrying out laboratory researches with access for the staff of contractual department to it and laboratories should become result of the first stage of the project. On the next stage it is going to automate work with the entering and outgoing correspondence and to increase the number of the users having access to eDocLib: Asset Business.
