On October 27, 2015 the Terralink company announced execution of an implementation project of an electronic document management system of TerraLink xDE by request of EVRAZ holding.
Project Tasks
Geographically distributed business of EVRAZ company and goods turnover create the considerable volume of document flow, including regarding primary financial documentation.
In the course of business activity there was a need to resolve tasks:
- expansions of the state of a back office for processing of a huge number of paper primary documents;
- high material and time expenditure on exchange and reconciliation of originals between the enterprises of holding, delays in registration and providing necessary documents to suppliers and clients;
- duration of search and selection of documents in archive at requests of FTS.
Optimizing document flow processes, reducing costs and term for exchange of documents with clients and partners, implementing the automation equipment of business processes for decrease in level of influence of "a human factor" and document flow quality improvement, the company management made the decision - to begin transition from paper document flow to electronic exchange of legally significant documents by means of operators of e-document flow, in accordance with the legislation of the Russian Federation.
For accounting of primary finance documents at document flow between the companies of holding the SAP platform is used. It caused two main requirements to a system:
- integration into the SAP platform;
- opportunity for work with documents in the single user interface with basic support of functionality of services of two operators of e-document flow.
Project Progress
The offer of TerraLink at the heart of which - the product TerraLink eXtended Document Exchange (xDE) for SAP, looked more attractively when holding a competitive procedure.
TerraLink xDE provides to end users a possibility of acceptance and transfer of primary documents by means of services of operators of e-document flow using the usual user interface of SAP.
Acceptance and document transfer is executed through operators of e-document flow:
- "Diadoc" "PF of SKB Kontur (Closed joint stock company) and Taxcom-Fayler" Taxcom (LLC).
A system provides acceptance and document transfer:
- the invoice, Laid on TORG-12 and the Delivery and acceptance certificate of works/rendering services (the formalized type in the XML format and an unformalized type in the PDF format);
- the way bill and the delivery note 1-T (an unformalized document type in the PDF format).

Project Results
Integration of SAP ERP with services of operators of e-document flow on the TerraLink xDE platform is executed for exchange of legally significant documents between Shopping Mall EvrazHolding LLC and managed enterprise JSC EVRAZ of NTMK. Implementation of the project helped to accelerate document flow between the companies of group, to cut down expenses on printing and transfer of documents.
System implementation of exchange of electronic documents promoted:
- to decrease in labor costs of employees of a back office on document handling;
- to cost reduction on printing, scanning and transfer of originals of documents;
- cutting of costs for storage and maintenance of paper archive.
- to reduction of terms of exchange of originals of documents;
- to increase in transparency and reliability of exchange of documents;
- to increase in reliability and efficiency of financial and economic accounting;
- to reduction of risk of loss of documents;
- minimization of influence of a human factor at document handling.
