Specialists of Macrosoft company completed at the end of 2015 creation of an electronic document management system at "The international airport Mineralnye Vody". The 1C: Document Flow of 8 Buildings system integrated work more than 50 structural divisions of the enterprise. According to the results of the project document forms are unified, rules of their registration, storage and processing are accurately registered. On a response of the customer, the volume of paper document flow is reduced by 60%. On search of the necessary document in archive not hours, but minutes leave now. More than by 1.5 times approval of agreements accelerated.
"The international airport Mineralnye Vody" — the airport of Stavropol Krai and the North Caucasian Federal District. The airport is in the 16th place on the amount of passenger traffic in Russia at the end of 2014. In 12 months 2014 the airport serviced 1,921,669 passengers.
Earlier document flow in the company was not automated. Employees manually processed about 1000 documents monthly. Joint work with documents was complicated. Not always it was possible to bring to employees this or that order, the instruction or order in time. To approve the document, he had to be transferred several times from department to department in the divisions which are in the different ends of the city. On approval of agreements about 2-3 weeks left. Besides, for all the time of work of the airport the huge paper archive on search of the necessary documents in which too much time was spent was formed.
Before the management of the enterprise sharply there was a need available of an information system which would help to systematize documents, to accelerate their formation and approval, to exclude loss of originals, to adjust control of validity periods of agreements, to increase performing discipline of employees.
For management and accounting at the enterprise solutions based on "1C:Enterprise 8" therefore for creation of an electronic document management system the 1C: Document Flow of 8 Buildings ECM system was selected are already used. The Macrosoft company became the partner in implementation. According to the results of the project in a single system of electronic document management more than 50 structural divisions of the enterprise, including territorially remote work.
It provided a possibility of joint work over documents, the efficiency of execution of tasks increased. In a short time at the enterprise all regulating documentation on the organization of activity of service of office-work — job descriptions of specialists, regulations on document flow and office-work, regulations on work with contractual documentation was developed. The structure of documents is arranged, all documents are provided to the uniform standard of development and registration. The staff of all divisions uses only the relevant unified document templates now. Formation of documents became simpler and accelerated. At the same time, the convenient accounting system and storages of all (more than 35 types) of documents of the enterprise is organized. Originals of documents are stored in archive, and employees work with their electronic versions. Access rights to documents are differentiated on the basis of job responsibilities of specialists. Search of the necessary document in archive takes now no more couple of minutes while earlier on it not one hour could leave. Costs for supplies and also delivery and document storage are reduced. Approval and document approval is transferred to an electronic form. Process of approval is strictly regulated, routes of the movement for each document type are accurately registered. As a result approval of documents accelerated, by the customer's estimates, more than for 50%. In a system contractors by each type of tasks are appointed, routing of tasks of roles of contractors is configured. For example, the application for payment of account to the supplier will be received not by one specific accountant, but all responsibles on this section of work.
Such scheme of work helps to prevent cases of loss of documents or non-execution of tasks because of a disease or the employee's holiday. The performing discipline of employees increased: the task list now always near at hand on a desktop, terms and the sequence of actions are predeterminated. The bigger convenience during the work with documents is provided with the mobile application installed for heads. At any time and in any place with its help it is possible to accelerate consideration and approval of the important document. A considerable part of working time of a managerial personnel was released for the solution of other important tasks of the enterprise, told in 1C.
