In the bus fleet of the city of Grodno (Republic of Belarus), an electronic document management system based on EDDoXLogic has been introduced . The project to automate all the main stages of the workflow was implemented by BFT's partner in Belarus, the republican unitary enterprise IVC of the Ministry of Finance.
The "bus fleet of Grodno" contains in its "arsenal" about 260 buses, which serve more than 130 routes with passenger traffic over 145 thousand people daily. Until recently, the document flow related to the maintenance of all routes and the activities of the fleet as a whole was carried out exclusively in paper form. To speed up the processing of documents, optimize the work of employees with incoming, outgoing and internal correspondence, as well as comply with the requirements of the legislation of the Republic of Belarus to reduce the volume of paper document circulation in the Grodno bus fleet, all the main stages of working with documents based on the DoXLogic EDMS have been automated.
The work on automation of all the main processes of registration, processing and storage of documents was completed in a short time, as a result of which the employees of the administrative building of the Bus Fleet of Grodno received a tool for operational processing of documents.
Fleet specialists create, process and store all basic documents in electronic form, and the search system provides prompt access to the necessary documents, the BFT said. According to the customer's estimates, the work of all specialists of the fleet in a single information space of the DoXLogic EDMS accelerated the processes of processing and coordination of documents. In addition, automated monitoring of the implementation of documents and management resolutions allows you to increase executive discipline.
Commenting on the results of the project, Nikolai Drevilo, director of the bus fleet in Grodno, noted: "Within the framework of the project, the final result was important for us - saving the time and resources of the fleet employees for processing documents, as well as high-quality and operational work with documents. And today, summing up the first results, it is safe to say that we are following the right path: not only the process of processing documents has accelerated, the quality of our work has improved. "
Within the framework of the project, the bus fleet of Grodno was connected to the interdepartmental document management system of the Republic of Belarus (SMDO). Thus, now the administration of the bus fleet has the opportunity to promptly exchange electronic documents with state bodies and organizations of Belarus, the electronic document management systems of which are integrated with SMDO.
