Purpose of the solution

The solution "Mobile Approval" is intended for providing an opportunity to users of the Tessa systems to participate in the automated processes of approval of documents by means of any e-mail client (including Outlook Mobile) without direct access to the EDMS server. The solution does not require installation of additional components on the computer (the notebook, the PDA, the smartphone) of the user.

Possibilities of the solution:

The user of mobile approval being the approving person in the course of study of this or that document in the company, by means of an e-mail client loads e-mails on the computer (the notebook, the PDA, the smartphone) and gets access to the following functions:

• The user can read the text of the task for approval sent it and browse all files attached to a card of the approved document;
• The user can make the decision on the document: Approve / not approve the document, approve with notes;
• The user can enter notes/comments on the approved document;
• The user can delegate approval to other employee.

With the next sending e-mail the solution of the user which is automatically issued in the form of the special reply letter will be sent to the company and processed by a system just as as if the user completed a task for approval locally working in a system.

For security and an exception of wrongful acts the following mechanisms are provided:

• Each letter sent the user of mobile approval and automatically created at the answer of the user is protected by a special identifying key which is known only to a system;
• Each letter (the text and investments) can be ciphered by means of cryptoprotection (in the company MS Exchange should be unrolled, to users certificates should be issued);
• In a system the detailed transaction journal of mobile approval is kept.

Thus, users of mobile approval by means of the e-mail clients have an opportunity to take part in processes of approval of the documents going to the companies.
