"AEM-technologies" implemented a control technique program assets

On October 11, 2016 the Softline company announced the draft of the complex analysis of license compliance of the software used in "AEM-technology".

Project Tasks

"AEM-technologies" set the task - to control financial and legal risks due to use of the licensed software, to optimize costs for its acquisition and administration.

Within the industry program of expense optimization, the company management made the decision to carry out the analysis of a status of program assets and to implement methodology of Software Asset Management (SAM). It was going to increase transparency of procurement processes and accounting of software, to create uniform base of license agreements and, eventually, to automate the business processes connected taking into account, updating and use of software products.

Within the competitive procurement procedure the Softline company became the contractor in the project.

Project Progress

During the project in parent organization and two branches of the customer specialists of Softline conducted examination of the IT system:

• collecting and verification of documents of title on the software;
• inventory of software, check of license compliance and preparation of operational documentation;
• formation of recommendations about increase in a maturity of processes of SAM.

In the course of inspection data about 66 thousand software copies are collected, more than 5 thousand licenses are analyzed. A large number of versions for one name software, lack of necessary documentation kits, the low level of formalization of processes in the ISO standards is revealed (about 30% of the working processes were not described and formalized).

On the basis of the acquired information experts of Softline defined the main directions of optimization of operation of program assets - removal of not used software, application of more profitable combined schemes of licensing ("on the server", "on a core", "on the user", etc.). The plan of increase in level of a maturity of processes of SAM taking into account requirements of the Tired Model standard is created (to the 4th level of a maturity). It is supposed that these actions will help the customer to reach economy of means in 30-40% in the course of acquisition and administration of software products, at the same time observing a full license compliance.

Project Results

The project implemented by our specialists will help the customer to manage program assets with the maximum benefit for the enterprises, to provide license purity of the used software, to simplify work of technical specialists. Besides, the data received during inspection of IT infrastructure will allow to create at the enterprises resource model of services due to receiving from the system of data on existence of hardware-software resources for rendering IT services. Thanks to the project we received a detailed information about a status of program assets.
