2019: Automation of a time recording using Directum

On October 8, 2019 it became known that the GIDEON RICHTER — RUS company automated a time recording using DIRECTUM. A system helps the staff of the enterprise to interact effectively among themselves. Planned absence — the business trip, a holiday, the sick-list, days of rest — arrive in a system automatically from "1C: Payroll and HR Management". Without fail the absence reason is specified. Both the employee, and heads of divisions can add information.

As it was reported, for several years the staff of the company worked with the PayDox system. However over time the solution ceased to provide the necessary level of scalability and automation which the customer would like to see. In 2016 the decision on implementation of other system was made. Among several options the management selected DIRECTUM.

At the enterprise there is a large number of various working schedules. Daily routine operations on check of observance of the labor schedule and reporting require considerable labor costs of employees. So, several tasks were set for a project team at once: automate data validation from a control and management system for access (the actual periods of work) and from "1C: Payroll and HR Management" (working schedules); develop for heads the system of notifications on deviations from the working plan; accelerate formation of data on balance of a worked time by employees with flexible hours; automate approval of absence of the employee in a workplace; enter the sheet of accounting on actually fulfilled hours.

For October, 2019 functioning of the enterprise is ensured by more than 500 people, 6 modes of working time are entered. The solution based on DIRECTUM is expected each category of users: employees — quickly monitor working loading in a system; heads — control labor costs of subordinates; timekeepers — are with guarantee informed on all planned and unplanned otsutstviye of workers.

DIRECTUM helps the staff of the enterprise to interact effectively among themselves. Both the employee, and heads of divisions can add information. The last the task is received by the timekeeper who sets off or excludes an absence period from actually worked time.

Within an implementation project the protection workplace was also automated. It helps to consider information on presence in a workplace of employees who forgot the admission. Now instead of a paper register the representative of protection enters information into DIRECTUM directly. If record was not made, a system will detect mismatch and will send a request to the worker for the indication of an absence reason. The similar scenario works at detection of delay, early goings from work location and also absence periods in working time.

For October, 2019 in DIRECTUM about 330 users, including heads and top management are registered. In a system processes of office-work and contract activities are organized. The automated time recording allowed JSC GIDEON RICHTER — RUS to optimize labor costs: time for data processing and reporting on loading of specialists was reduced from 7-8 days to 1-2 days; the analysis of loading of specialists, calculation of working time and the notification on absence of workers form automatically now, and all information contains in a system; monthly and quarterly statements form automatically and do not require participation of timekeepers.

2016: Beginning of the project

On October 28, 2016 the company Tanais announced the beginning of an implementation project ECM- systems Directum in IT infrastructure the autonomous area "Gideon Richter-Rus".

Project Tasks

Before Directum implementation employees "Gideon Richter-Rus" used the PayDox system. However a system did not provide the level of scalability and automation required to the customer and in 2015 the company made the decision on the choice of other system.

The choice between Directum and WSS Docs was coming. The company preferred the first.

Project Progress

Implementation of Directum was decided to be broken into several stages:

  • the first stage it is necessary to automate basic processes of office, they will help the customer to estimate system effectiveness.
  • the second stage automation of office will continue, but with the large volume of works — it is necessary to cover almost all processes.
  • during the third stage automation of contract activities is planned.

End of the first stage of the project is planned for March, 2017. The remained two stages, according to the plan, will be ended during 2017 - 2018.
