2016: Implementation of CRM system

At the stage of finding a suitable CRM system, Our Personnel was faced with the fact that within the framework of the standard functionality of popular solutions on the market (Bitrix 24 and amoCRM systems were considered) it was impossible to implement the tasks, and the cost of improvements exceeded the expected budget. In addition, the management of Our Personnel was not satisfied with the project terms announced by the suppliers. It was also decided to abandon the creation of its own solution that would fully meet the requirements of the company due to too much investment and implementation time.

As a result, the AMBER CRM system developed by Hawk House Integration was chosen for the project. The key factors in making the decision were the team's experience in creating custom solutions on the AMBER platform and cost. The peculiarity of working with clients in the company is that the incoming request for personnel must be implemented in a short time (1-2 days). At the same time, we can talk about dozens of workers and several retail outlets.

At the first stage of the project, together with Hawk House Integration specialists, the processes of sales and implementation of concluded contracts were formalized, as well as the requirements for the CRM system ideal for Our Personnel were formulated. In addition to communication with customers, it was supposed to allow:

  • Automatically determine which of the existing contracts with the customer to start the purchase requisition.
  • According to the received request, automatically start the recruitment process using the existing personnel base in the company, the personnel in which is segmented by skill level, rates, gender, age and a number of other characteristics.
  • Calculate potential and actual arrival from each request.
  • Maintain personnel records in the system, including the calculation of salaries, bonuses and deductions.

At the second stage of the project implementation, the system was configured for the company's tasks, which made it possible to fill the created solution with real data: customers and the personnel base. Then the team "Hawk House Integration" began refinement. As a result, AMBER CRM has new functionality that allows you to:

  • Add new customers to the system together with their objects - stores, warehouses, etc.
  • Enter new contracts with fixed rates for personnel, which are taken into account in calculations with personnel.
  • Save new personnel data in a user-friendly way.
  • Register customer requests and run them automatically.
  • Close applications and, based on their results, record the earnings of employees.

As part of the final fourth stage of the project, reports were set up that allow the management of Our Personnel to assess the effectiveness of the work done: a report on the salary and advances issued, fines and bonuses, on the adaptation of personnel at the client's facility, as well as reconciliation by customers.
