Alfa-Bank founded in 1990 is the universal bank performing all main types of the banking activities presented at the market of financial services including service of private and corporate clients, investment banking business, trade financing and asset management.

Implementation premises

Premises of implementation of an all-banking system of internal document flow became need of acceleration of processing of incoming correspondence which flow by 2015 made up to 10 thousand documents a day and need of unification of process of approval and release of organizational and administrative documentation for geographically distributed structure of bank including divisions in 126 cities of Russia.

Course of the project and results

Based on objective multicriteria comparative assessment among TOP-10 presented at the market specialized by EDMS for project implementation the software solution WSS Docs was selected.

The implementation project started in the second half of 2014. In 11 months of the project the following results were achieved:

1. Line registration of incoming letters is provided, process of registration and mailing of documents was not only is automated, but also considerably reduced thanks to functionality of package registration of WSS Docs and the combined mailing

2. The transparency and high discipline of process of approval of the administrative bank documentation is provided, the possibility of assessment of this discipline appeared.

3. Speed of approval of documents for which automatically created approval route was developed is increased.

4. The automated control of acquaintance of employees of Bank with organizational and administrative documentation is provided.

5. Load of the divisions providing examination according to internal documents of bank is reduced. The result is achieved at the expense of the organization of the centralized access to documents and thanks to preserving of a context for each document (instructions, the history of approval, etc.).

At the solution of the tasks facing the project there were difficulties connected with integration into other ICs of bank, need to change the culture of approval and consideration of documents, migration of historical base of documents from the outdated systems. Effective cooperation of a team of the customer and WSS-Consulting and also the rich auxiliary WSS Docs tools allowed to resolve the arising problems without damage to the project.

The WSS Docs system in realities of financial institution proved to be as the high-quality applied tool on which processes of internal document flow can be implemented. In this context cooperation of Alfa-Bank and WSS-Consulting continues already upon completion of the main implementation project.
