Rospan International was transferred to the Directum system by fund of the local regulating documentation

On March 20, 2017 the Directum company announced implementing solution on management of local regulating documents in JSC Rospan International.

Project Tasks

The task to automate work with locally regulating documentation of both Society, and PJSC Rosneft Oil Company was set for a command. The Directum system needed to be arranged under the tough, already existing in the head company regulations. After the research of processes and rules, design and development of a special tool was executed. The solution constructed based on Directum supports a full stroke of work with LND from planning of creation before commissioning. Also allows to reduce the number of manual transactions, to increase the processing speed of documents and to minimize risks of "a human factor". Close connection with the module Office Directum allows to control execution of the instructions connected with regulating documents at each stage:

For convenient work of specialists all fund of the local regulating documentation of JSC Rospan International was transferred to the Directum system even before start of the solution. Earlier organized folder structure with documents was saved.

Results of Implementation

In Directum LND fund where documents are distributed depending on a lifecycle stage automatically forms: approved, being in development.

Processes which had to be executed manually earlier are automated:

• formation of the scheduled plan on work with LND;
• creation of reports upon the demand of the head company in different cuts;
• formation of communications of documents, for example, the order on input or canceling with the document;
• pronouncement of information on the document in watermarks and headlines (a stage, printing fact, etc.).

Also automatically important notifications form:

• about approach of completion dates of tasks on LND;
• tasks for development/updating of LND;
• about commissioning, change or canceling of LND.
