The winner of a TAdviser IT-PRIZE in the "Project of Year in the field of Corporate Mobility" nomination

On May 31, 2017 during TAdviser SummIT WorksPad implementation project in the Russian Railway was awarded with a prize in the "Project of Year in the field of Corporate Mobility" nomination.

The award in a plenary part of the summit was presented to Andrey Kozyrev, the chief designer of the Center of digital technologies of the Russian Railway.

The TAdviser IT-PRIZE is a national award in the field of information technologies in the corporate sector. It is founded by TAdviser - edition No. 1 in Russia about informatization in public authorities and business. During the whole year organizers selected the most effective IT projects, monitored achievements of the companies and professionals of the industry. Rewarding of winners took place on May 31, 2017 on the platform TAdviser SummIT.

400 IT heads of the large commercial and state organizations, top managers and experts of the IT companies took part in TAdviser SummIT 2017.

In panel discussions participants of the summit exchanged views and forecasts on perspectives of development of technologies and information systems.

Safe corporate mobile mail in the Russian Railway

In the Russian Railway mobile devices for work with IT systems did not allow to use long time of restriction of security to the employees. The popular service managed to be implemented, having found the solution providing security and convenience of a mobile corporate workplace. It is the unique Russian product WorksPad.

Use of mobile devices for corporate tasks significantly increases efficiency of work of employees and saves resources of the company. But at the same time it bears risks in the field of information security which repeatedly increase with growth of scale of the organization. The Russian Railway in this plan treats strategically important enterprises of the country, and security issues during creation of IT infrastructure are on the first place.

Transition to paperless meetings

Thanks to WorksPad, holding meetings stopped being is connected with kilograms of printouts. In the tablet at participants always near at hand all current versions of documents in electronic form placed in the special protected zone of corporate network. Amendments and notes can be entered to documents directly during discussion of reports.

We use WorksPad generally as the instrument of preparation of materials for meetings. It allows us to implement the scenario of paperless meetings. Folders, relevant to subject are created, and responsible for an action places there material which participants will use. At the same time it is possible to keep track of version control, relevance of documents, - Evgeny Charkin told.

The solution exceeding expectations

In 2016 the decision to implement the Russian product WorksPad was made. In addition to required functionality it allowed to use also mobile devices for holding meetings that very interested representatives of the Russian Railway. Besides the solution provided the high level of security at access to corporate resources due to use of the special version of software.

Among advantages of WorksPad were mentioned: a multiwindow interface as on the PC, corporate Dropbox for transfer of big files, the opportunity for work with the PDF documents and also will lock opening of corporate documents in third-party applications. Using WorksPad in the company really it was possible to create the protected mobile corporate workplace of the employee.

The delivered version of WorksPad supports work and with the mail Communigate Pro system used in the Russian Railway and with Outlook. The solution allows to get direct secure access to documents in corporate network and to work with files and folders the same as on the usual desktop computer or the notebook. Navigation and search in WorksPad are organized the same as in Windows conductor. The application supports a broad set of file formats, including multimedia and TIFF.

The solution allows to work safely with corporate mail in the usual interface, as in Outlook on the PC: previously to browse messages, to open at the same time several letters in separate windows. Corporate mail is reliably separated from personal, access to an e-mail client is defined by the same security policies, as on the working PC. Interesting function of the client of WorksPad is the possibility of broadcast of the screen of the device when holding the presentations and meetings on devices of participants.

Implementation and testing of the solution took 6 months. It is planned that in the long term in WorksPad more than 10 thousand users will work, the Central office of the Russian Railway and the Gorky railroad became the first the structural divisions which implemented the solution.

Now actively about 500 people use a system. These are managers of the average level, all road management, including the chief of the road and the chief engineer", - Evgeny Charkin, the Chief information officer of the Russian Railway reported. – In our plans – to extend practice of use of WorksPad to all company, to connect other 16 roads until the end of the year. Mobile access will become a reality for thousands of employees of corporation.

Need for mobile access

From employees requests for a possibility of remote work with the corporate mail and documents located in corporate network Russian Railway often came. Strict bans led to the fact that workers printed mountains of paper documents, used alternative methods of data transmission which theoretically could reduce the level of security of corporate information. Therefore in the company the decision to find the suitable tool for ensuring the protected mobile access was made.

Requirements to this solution were very serious. It should work on mobile devices running OS Android and iOS, providing the protected connection through Internet public service networks. With its help employees should get access to corporate e-mail, the files placed in corporate network on servers or personal computers. This tool should allow to edit and annotate documents directly on the mobile device.
