At design and survey institute "Yugraneftegazproyekt" the project on transition to management of project works in the Pilot system came to the end : PGS and Rubius Project Manager. Works on implementation Pilot: To PGS and expansion of functionality of a system are executed by specialists of ASCON-Ufa company, the platinum partner of Ascon.

Prerequisites

Yugraneftegazproyekt is engaged in design of infrastructure facilities of oil and gas fields, preparation of transport of oil and gas which geography covers practically all Russia. Scales of activity and a geographically-distributed structure of objects require special approaches to project management. However to system implementation the Pilot: PGS of a task at institute were issued in a paper form or in general orally that, certainly, complicated and slowed down control of performing discipline.

The decision on need of transfer of document flow and conducting project works on digital rails in Yugraneftegazproyekt was managerial: the CEO of institute, Rustem Khusainov, personally undertook a role of the curator of system implementation of management of the project Pilot organization: PGS.

Project Tasks

In a project deliverable the tasks set by the management were solved: process of interaction of related departments of institute is automated, process of electronic approval of the design estimates is organized, tools for control of performing discipline appeared.

Planning automation therefore the Pilot was one of main goals: PGS was implemented together with a planning module of Rubius Project Manager which the Rubius company finished under technical requirements of institute. The module allowed Yugraneftegazproyekt to reduce time for formation of plans, including due to use of templates and prototypes of plans, and heads could obtain quickly reliable information about current situation.

Project Results

According to the results of system implementation of management of the project Pilot organization: PGS all project and organizational and administrative documentation of Yugraneftegazproyekt is in a common information space. At the same time planning process of project works is conducted using the module Rubius Project Manager, and problems of organizational and administrative turnover are solved by the plug-in of ORD which is specially developed for needs of institute.

From the moment of implementation of Rubius Project Manager in Yugraneftegazproyekt specialists of institute made more than 15 offers on development of the module. The report of "A task of all plans" was as a result created, tasks had an initiator property and a possibility of an investment in them of files, for 40% opening of plans accelerated and also the mechanism of transfer of employees between divisions was implemented. By the way, the functionality developed under needs of institute was included into new versions of a planning module of RPM. So we continue active cooperation with institute and ASCON-Ufa company and at the same time we develop our product — Ilya Novoseltsev, the technical director of the company of Rubius said.

HORDES based on the Pilot: PGS

In 2014 Yugraneftegazproyekt was required to increase quantity of jobs the Pilot: PGS. At the same time specialists ASCON-Ufa should adjust organizational and administrative turnover on the platform of the Pilot system: PGS so that to provide communication of the project documentation with business correspondence on the project and contractual documentation.

Kill two hares with one shot, having combined project document flow and ORD in one system, the command ASCON-Ufa solved using development of the specialized plug-in expanding basic functionality the Pilot: PGS. The module allows to organize work with the outgoing correspondence entering \, outgoing agreements, internal documents, to limit access to organizational and administrative documents and to organize their storage.

That control of execution of the tasks connected with the outgoing correspondence entering \was more convenient, specialists ASCON-Ufa developed the report on execution of instructions on correspondence. The similar report was created on the movement of internal documents — for control of tasks on ORD.

By search of suitable tools   for automation of tasks of design department we decided to stop the choice on the software of Ascon — the Pilot system: PGS which has a row valuable to us potential: the powerful functionality for conducting document flow adapted for our requirements a planning module, mechanisms of control of performing discipline, simplicity in mastering. And price policy of Ascon became additional plus — Rustem Khusainov, the CEO told Yugraneftegazproyekt. Thanks to system implementation all project and organizational and administrative documentation of the company is in a common information space, account and control of labor costs on each project is kept. We established cooperation between project participants and by that increased labor productivity.

Mobile Pilot

At institute requirement of remote monitoring of development of the project documentation appeared. For this purpose to Yugraneftegazproyekt server a part of mobile version the Pilot was put into trial operation: 24 which allowed all users to make the necessary number of connections via mobile devices on platforms iOS and Android.

Project Development

Yugraneftegazproyekt continues development of a management system for design data. Together with ASCON-Ufa the institute started expansion of basic functionality the Pilot: PGS on work with tasks and integration with the MS OutLook e-mail client for design management optimization.
