"AKS Finance" organized electronic archive of documents on the Etla platform

The microcredit institution of Aks Finance jointly with specialists of Atlas Soft organized electronic archive of finance documents. On November 17, 2017 reported about it in Atlas Soft company.

Prerequisites

Owing to specifics of work in the company a large number of documents was daily generated. With respect thereto gradually there were problems with their storage, search and issue. Therefore the management it was decided to transfer all paper documents of the company to an electronic form. The priority when choosing a system was given to the company which can offer the mechanism of a fast starting documents in a system with automatic recognition of keyword parameters.

Project Tasks

Formation of the electronic register of client agreements of a microloan and all related documents was the purpose of the organization of electronic archive.

System Selection

In an analysis result of the market of the existing systems of electronic archive the choice fell on a system from Atlas Soft company.

Project Progress

During the project on system implementation it was required to perform works on standard system implementation, including:

• Creation of structure of document storage.
• Institution of users in a system.
• Creation of reference books.
• Creation of user groups and distribution of access rights to archive sectors.
• Setup of cards for all document types.
• Setup of automatic numbering, automatic naming and automatic placement of documents at their registration.
• Setup of document templates.

Rules of automatic recognition of parameters for the following document types were also in addition created:

• Questionnaire of the borrower
• Civil passport of the borrower
• Payment schedule
• Contract of assignment of the rights of requirements
• Agreement of a microloan
• Supplementary agreement
• Cash desk
• Agreement of the 3rd person
• Certificate of absence of debt

Existence of the module of automatic text recognition which is based on the free software Tesseract from Google company was feature of the Etla system. Existence of this module allows to save the most part of financial resources at large-scale scanning and text recognition.

Implementation Results

Transition to electronic archive allowed Aks Finance company to increase in general reliability and to optimize activity due to receiving quick access to any data on the agreement with the borrower and to relationship with it.
