SED Implementation Objectives

On the basis of the set tasks for the purposes in the field of quality and lean production, the following goals were identified at NZ JSC of the 70th anniversary of the victory:

  • Automate document processes
  • Inbound and Outbound Documents
  • organizational and administrative documents (orders, orders, instructions, protocols and others);
  • official correspondence;
  • Building a single electronic archive of contractual documents
  • Monitor current status and track complaints
  • Formation and automation of contract negotiation processes
  • Accelerating the Contract Negotiation Process
  • Automation of Manager and Executors Workplace
  • maximum automation of handling of messages, issuance of resolutions and receipt of reports on execution of tasks.

Start of the project

First stage of testing - mid-March 2017

Working group - employees of UIT JSC'NZ 70th anniversary of Victory '

Testing of standard TESSA 2.2 SED functionality in the context of internal documents and their registration, as well as the mechanism of instructions (tasks).

First rework phase

  • Create a Case Item Directory
  • Set up document numbering based on the case item index
  • Ability to enter confidential documents hidden from all but addressing objects
  • Refinement of standard electronic document cards
  • allows you to select an item of cases and create a confidential document
  • Generate Case Item Document Logs

Primary and secondary test stages

The system registers:

  • service notes (inbound and outbound)
  • orders
  • orders
  • inbound and outbound from third-party organizations
  • internal UIT documents
  • (purchase requisitions for entering users SAP ERP in and SAP HR)

Expansion of SED NZ 70th Anniversary of Victory

Second stage of rework

  • Automatic generation of service note form
  • Rework of Incoming and Outgoing Documents
  • Refine User Desktops
  • The possibility of monitoring and viewing documents for heads of structural departments has been added.
  • A mechanism has been added to monitor the instructions for the document, including those already completed with the indication of overdue ones.

Third stage of rework

  • Contract coordination subsystem launched at NZ 70th Anniversary of Victory JSC and NMZ PJSC
  • A reference book "IGC" and a new document type "Request for Development/Approval of Contract Project" have been added to the system

As of September 2017, the total number of users was 570

  • Revision of configuration for analysis and communication based on the State Contract Identifier (IGC), revision of cards and writing of reports
  • Implementation of comments on the approval process and putting this subsystem into industrial operation
  • Start the internal document subsystem for the enterprise as a whole. (the current status of registration and entry of documents is carried out by the Directorate of Regime and Safety of the general department and the Directorate of Legal and Corporate Affairs partially by the Directorate of Quality)
  • Connect the document text recognition subsystem and search by document text.
