The retail network "O'KEY" cut costs for printing thanks to services of Xerox by half

The O'KEY group transferred to management of Xerox production of consignment documentation for the goods shipped from the distribution center (DC) of Litvinovo. Thanks to reorganization of this process on the platform processing of cargo departures accelerated, a part of personnel was released and expenses were cut down, reported in January, 2018 in Xerox company.

Project Tasks

Transferring to outsourcing production of consignment documentation to RTs Litvinovo, the O'KEY group pursued the following aims:

• accelerate printing process of consignment documentation and reduce time for shipment,
• lower load of schedule systems of resources (ERP) and management of warehouses (WMS),
• reduce costs,
• optimize use of human resources.

Choice of the supplier

The O'KEY network selected from quality of service provider Xerox company which, as of 2017, already seven years rendered her services in management of printing infrastructure. First of all, the retailer was attracted by deep industry expertize and experience of implementation of outsourcing projects of the company. As result, in May, 2017 O'KEY signed with Xerox the contract for 5 years.

Project Progress

After the comprehensive analysis of IT infrastructure and business processes of network it was decided to rebuild a production process of consignment documentation in RTs Litvinovo. In particular, for this purpose specialists of Xerox needed to set and configure a hardware and software system. For its management Xerox selected specialists who undertook all obligations for documentation printing, having exempted from them the staff of RTs Litvinovo.

Project Results

As a result of implementation of service processing of cargo departures as time for printing of consignment documentation was reduced by 3 times, and in certain cases — by 4 times accelerated. Performance increased in many respects thanks to the solution on printing of variable data which automatically arranges documents, substituting data in ready electronic templates. It also lowered load and of the Litvinovo RTs managing systems, told in Xerox.

Processing of the entering documentation from suppliers became simpler thanks to the solution Xerox Scan & Split which automatically routes the scanned documents according to the barcodes applied on them.

Besides, the project helped to reduce twice costs of RTs Litvinovo for production of consignment documentation. As noted, it managed to be reached thanks to more effective distribution of human resources and installation of monochrome Xerox Nuvera 120 EA and Xerox D125 EPS printing machines.

The project allowed us to resolve the issues key for ensuring efficiency and the continuity of accomplishment of business challenges. Along with it printing process became cheaper that is always relevant — Alexander Karasyov, the chief of the department on support of operating activities of IT of O'KEY group noted.
