On January 25, 2018 the TDS-Group company announced the implementing solution "Scan Archive". In group time for preparation for tax and judicial audits decreased, time of reconciliation of the received documents was several times reduced and also the quality of accounting increased.
The company cooperates with several thousand partners that causes annual document flow in 280,000 documents. After the Federal Tax Service began to impose more strict requirements to the reporting of supplier companies of grain crops, the number of tax audits in TDS-Group grew. The procedure of VAT refund which is carried out by the company also assumes the large volume of work with the reporting. With respect thereto the load of accountant officers increased that led to emergence of errors when accounting.
The IT service of the company decided to automate processing of outgoing documents. For these purposes the solution "Scan Archive" developed by GENDALF company was selected. When choosing software specialists were guided by criteria of stable work and compatibility with programs of 1C.
After implementation "Scan Archive" process of work with "supporting documents" changed: at first the document is processed in the stream scanner, then the program adds its copy to 1C base with partners. In day the program processes up to 150 delivery notes, with entering of documents into base one employee can cope with access to software.
The processed documents can be found and unloaded from base at any time. It allowed to reduce several times a set-up time to tax audits, to increase transparency of transactions, to unload employee occupation and also to move the most part of primary documents from office in archive rooms.
Staff of IT service made several changes to standard functionality of the program.
"We connected scanners of barcodes to all 5 automated workplaces and added own algorithm of recognition suitable for specifics of documents. It allowed to reduce time of reconciliation of the papers received from partners from 1 minute to 5 seconds. We prepare for transition to 1C:ERP. "Scan Archive" is already prepared for work with the accounting system: we configured processing of printed forms and barcodes, recognition and search work correctly".
