2018: Transfer of work on approval of agreements to DirectumRX

On September 24, 2018 the Directum company announced that EAE-Consult transfers work on approval of agreements and primary documents to DirectumRX.

Project Tasks

Within this stage of the project it was required to solve problems:

• implement a functional part (reflection of business processes in the updated system) and to implement a platform part;
• integrate DirectumRX and the accounting system based on SAP S/4HANA;
• create a structured storage of contractual, primary accounting and finance documents;
• automate processes of approval of contractual documents;
• provide effective search of the connected documents in the set criteria;
• organize control of execution of terms of contractual documents.

Choosing a Solution

On the basis of own experience and the booked audit of contractual processes the conclusion was drawn that approval and signing of contractual documents more effective and are more transparent than a message in corporate EDMS. As a result the management EAE-Consult planned implementation of the modules DirectumRX – Agreements and Financial Archive.

Project Progress

The constructed information system allowed to see process of lifecycle of "formation" of the agreement, from activity (transaction), the project before its signing and transfer on execution. A system gives the chance to company management and to the owner of process to control responsibility of each link of contractual process for functionality which it provides. Preparation of contractual documents begins with "bottoms". The first who brings contractual the document to a system for approval and signing is that specialist who is responsible that it is stated in the subject of the agreement, he sees terms, duties and responsibility and by that "subscribes" for the fact that he made and entered. As a result the head of the organization distributes responsibility for the obligations to partners given by the company on all experts, specialists and their heads participating in business and processes which provide it. The base of Archive of finance documents, is implemented in DirectumRX as it is transparent and many times reduces storage cost, allowing to do selections by any parameters, to create qualitative reports, including with unloading of bodies of documents at the request of the third parties and state agencies, minimizing risks for the company, its owner and the head. Project Results

For September, 2018 in the company more than 50% of specialists already work with different modules of the information system DirectumRX.

Objectives

In plans – to transfer the modules DirectumRX to Microsoft Azure cloud, to unroll work in mobile applications of Directum Jazz and Directum Solo. Also it is going to implement intercorporate electronic exchange of legally significant documents with partners, to transfer contractual documents from "historical" base SAP R/3 to Financial archive DirectumRX.

2017: Process automation of management of transactions

Since 2017 processes of office-work of EAE-Consult company are conducted in the DirectumRX system. Possibilities of the platform allowed to create the individual solution for process automation of management of transactions, reported in Directum company in February, 2018.

Project Tasks

EAE-Consult is the center of consulting, software development and rendering information and technology services. The company was faced by a task to organize the centralized information storage about sales and work with clients.

Choosing a Solution

At a stage of the choice of the solution first of all systems capabilities of DirectumRX which was implemented in EAE-Consult earlier were considered. Having estimated the capacity of the platform, the management made the decision to create the custom development on sales management providing functionality of the CRM system on its base.

Project Progress

Specialists of Directum, at the same time the management and IT specialists EAE-Consult actively were engaged in the project interacted with a project team and quickly resolved the arising issues. Works were carried out on technology of the reduced iterative implementation that allowed to react quickly to changes and to fulfill the requirements of the customer.

Also consultants of Directum provided individual training of the main users and administrators of the module. The training of ordinary users was provided by means of webinars and the unrolled information in specially prepared instructions. Such method of training was already tested and approved in EAE-Consult.

Project Results

According to the results of the project from 1200 employees of the company more than 400 are users of the DirectumRX system, and 36 people already work in the module "Sales".

The implemented module provides:

• single database of transactions with partners;
• the general reference books with the module "Office-work" and "Agreements";
• preparation of activities with the potential and existing clients;
• reporting according to transactions and actions;
• planning of revenue.

The module "Sales" generates an original informatin about the client, and at a certain stage of development of the transaction transfers final information for further work to other departments. For example, for signing of the contract or holding exhibitions, presentations and mailings.

Besides, reports which allow to keep track of dynamics of actions and transactions and also their quality are developed. On a response of the customer, system implementation in the field of sales became solution of the problem of geographical remoteness. Now employees EAE-Consult work in a single system, and processes are brought to one form.

In the register of clients all companies registered in DirectumRX are displayed. Here it is possible to look and add characteristics of the client, the list of transactions and the carried-out activities concerning the partner. During the project IT specialists expanded structure of characteristics and added contents of basic reference books that helped to configure the mechanism of assessment of the client on categories. And close integration with the module "Office-work" provided automatic expansion of the register and an opportunity to add missing information for the transaction. As a result EAE-Consult reached one of the purposes — the structured database about potential and current clients was created.

One more reference book of the module "Sales" — the register of transactions which represents the list of activities and actions for the client. Company management and other employees who has the appropriate rights of access can trace transactions on the specific partner or at a certain stage. Also in the register information on meetings with the client, subject of the discussed issues and the decisions made together with the client is fixed.

In process of development of the transaction and achievement of the delivered results information is fixed in the field of the Transaction Stage card. Automatic fixing of history of its development on the Loudspeaker tab is provided. Besides, there is a possibility of installation of communication between the transaction and any documents of a system and also between transactions for adding of semantic interrelations.

Objectives

Further employees EAE-Consult intend to develop the module "Sales" independently. In particular, integration with other systems of the company is planned, completion of stages of sales and also is possible development of more difficult reports. Specialists of Directum will add only visual widgets for the management. In addition, EAE-Consult is going to implement the modules "Agreements" and "Financial Archive" and also prepares for integration of key reference books with ERP based on SAP for building of end-to-end processes of the company.
