Arbat Hotel Management automated processes of office-work using DirectumRX

On April 19, 2018 the DIRECTUM company announced carrying out the project on automation of work with correspondence, agreements and project documents in Management company of network of resorts of the Black Sea coast using the solution DirectumRX. In a system interaction between 100 divisions of the company is organized.

Arbat Hotel Management LLC is management company of network of resorts on the Black Sea coast of Russia Alean Family Resort Collection. Considering the number of users of a system – all divisions and services of resorts, before the company there was a document flow systematization problem.

The following tasks were set for DirectumRX developers:

• possibility of delicious of all branches in one network;
• strong functionality;
• the progressive platform for development;
• user-friendly and clear interface for users.

At choice of an ECM system there was only 1 month, and it was necessary to implement the project in 3 months – before start of a season of holidays.

Specialists of DIRECTUM automated office-work processes: work with the entering and outgoing correspondence, organizational and distribution documentation. The full stroke of work with agreements and regulating documents is adjusted. The module "Management of Meetings" allowed to transfer processes of preparation and approval of the agenda and minutes of meetings to an electronic form, the event calendar is conducted here. Individually the solution "Project planning" since the company uses project management model is developed for Alean Family Resort Collection.

Integration of DirectumRX about "1C: Manufacturing Enterprise Management" plays an important role in processes of financial planning. In a registration card of the entering account in an ECM system the economical department paints the amounts under the different articles and draft budgets. Data come from reference books "Budget Items", "Centers of the Financial Responsibility" and "Draft budgets", all of them are synchronized with the eponymous reference books in 1C.

On the basis of information the responsible creates the request for expenditure of means and the payment order in 1C of an account card. Its number automatically appears in an account card in DirectumRX.

All project works were completed at the scheduled time, at the same time the reduced technology of implementation was used. At a system learning stage users were helped by the built-in information references and detailed instructions to each process.

For April, 2018 in DirectumRX 200 employees work. It is in the future planned: automation of work with reference books of the nomenclature on the basis of standards of the company, modification of the module "Projects" and also implementation of financial archive with budgeting elements.
