Yulia Kanygina, "VTB Factoring": It is not necessary to be afraid to invest money in automation

Yulia Kanygina: Key project objective was consolidation of all participants of production process in the general information environment of the movement of documents and control of instructions. Automation of process of preparation of holding meetings of the collegiate organs making the decision on production questions it was designed to reduce terms and costs for approval and signing of the claiming documents of collegiate organs. At the same time the important requirement for us was to provide a possibility of remote decision-making on production questions with members of collegiate organs.

The circuit of automation at the same time included also problems of the general documentary providing: processing of the entering, outgoing and internal documents.

Yulia Kanygina: We needed the high-tech modern solution. TESSA attracted with the elegance, a user-friendly and clear interface, high speed of work. A choice for benefit of the ECMGroup.Pro command was made because of existence of necessary experience and competences of creation for "VTB Factoring" the tool which would provide automation taking into account all nuances of the solution of our production tasks.

Yulia Kanygina: The feature of this project was that implementation needed to be begun with functionality which was a logical conclusion of works on this project, otherwise, it was necessary to begin construction of the house with the 9th floor.

The task was not trivial and even creative, but the ECMGroup.Pro command coped, we began to work in the TESSA system and, gradually, on the course of the project all other functionality was unrolled.

I want to note also that functional requirements of this project were not standard, so to speak, the project was not boxed option of implementation. Features of our business demanded to implement the specific solution including, for example, accumulation of these different documents in one or creation of several documents from data of one, and, of course, use of the strengthened qualified electronic signature.

Yulia Kanygina: Certainly, "VTB Factoring" strictly observes high standards of work and requirements of VTB Group and also is aimed at use of modern technologies. The activity geography "VTB Factoring" covers all territory of Russia through own branch network in 15 largest cities of Russia and branch of bank of VTB that influenced requirements to functionality of a possibility of approval (vote, signing) solutions on production questions without physical presence of participants at a meeting of collegiate organs.

Yulia Kanygina: Thanks to the project became possible:

• complete processing of documents and control of instructions: creation and approval of questions to consideration, formation of the agenda, formation of protocols, creation of the solution (instructions) and minutes abstracts,
• accumulation and processing in the general information base of the current production questions requiring decision-making by collegiate organ
• processing of artifacts of process (creation of the agenda, approval and acquaintance of the interested participants with the agenda of meetings of collegiate organs) without use of paper documents and additional instruments of communication, except EDMS,
• parallel approval (the vote, signing) of documents by all participants of collegiate organs along the preset routes providing reduction of terms of decision-making by 2.5-3 times
• processing in a uniform circuit of the entering, outgoing and internal documents according to the classical scheme of a documentary chain: creation, approval, signing.

The main current result - the speed of signing of protocols (that is comparable to the speed of decision-making and ensuring financing of clients) increased from 9 working days to 3 working days. And we consider it worthy result!

Yulia Kanygina: Children proved to be a highly professional, harmonious and complete command. It was our first joint project. It was necessary to make together a lot of work and everyone coped with the tasks. The project was not simple, but is similar, ECMGroup.Pro is interesting to deal with uncommon tasks, and it is a key to the general success.

Yulia Kanygina: We make far-reaching plans of our cooperation. On the way new project on automation of the movement of finance documents on economic agreements of the organization. There are also other ideas on which it is necessary to create functional requirements. Let's move to achievement of our purposes, the direction of the movement is defined.

Yulia Kanygina: It is not necessary to be afraid to invest money in automation. I will agree, the project of transition from paper document flow on electronic not from simple, first of all in minds of people. But use of low technologies in business limits possibilities of the company. Every day, carried out using modern EDMS, is more profitable and more effective, than day without like that. It is important not to be mistaken with the choice of the partner in the solution of this task. The competent team of experts having experience of implementation of the EDMS different projects provides the lion share of success of the project in combination with really qualitative and modern software product.
