Sestroretsk resort Sanatorium (1C: Document Flow PROF)

JSC Sanatorium Sestroretsky kurort was faced by a task to create a system for workflow automation, including creation of electronic archive of documents and control of performing discipline within office-work process. Documents were stored in paper copies that complicated a possibility of their quick search and led to unjustified costs of time.

Terms of approval of agreements, large volume of the circulating papers did not arrange the company and also the fact that process of office-work was not automated. For the solution of these problems it was necessary to configure the movement of documents in the company, to introduce a control system of performing discipline and to organize uniform storage location of documents.

At the beginning of the project the following requirements to the Electronic document management system were made:

• Develop a process template "Approval of agreements";
• Systematize the general structure of document storage;
• Configure the movement of memos, orders and orders in the organization for the set route;
• Provide uniform storage location of electronic document revisions;
• Perform a possibility of creation of documents on a uniform template;
• Limit access rights on document types.

For automation of above-mentioned tasks the decision on implementation of an information system based on the 1C: Document Flow 8 PROF software product was made.

Project works began in December, 2016. During system implementation of electronic document management (EDMS) it was executed:

• The Technical Specifications are developed and approved;
• A system according to Technical Specifications is customized;
• User training is provided;
• Testing of EDMS on real data of JSC Sanatorium Sestroretsky kurort is held;
• Input of a system in trial operation is made.

During trial operation we were given high-quality support.

On March "31", 2017 the electronic document management system was brought into commercial operation. The tasks set by JSC Sanatorium Sestroretsky kurort are executed. The systematized document storage is provided, process work, document templates is configured, it is automated and configured according to groups of access to documents of 25 jobs.

As a result of implementation of the software product "1C: Document Flow 8 PROF we solved all standing problems of creation of ordered storage system and operational management of documents.
