Content

On August 24, 2018 1C Company reported that specialists of WiseAdvice company automated activity of PPF Real Estate Russia company. The system created on a basis of 1C: Holding Management 8 and 1C: Document Flow CORP helped to unify rules of financial accounting in 56 legal entities of the enterprise. In total according to the results of the project 100 jobs of users are automated.

Prerequisites of the Project

For August, 2018 in structure of the company – 56 legal entities, are available for each of which up to 30 centers of the financial responsibility. Earlier for problems of financial accounting and a contracted work they used a large number of spreadsheets and independently created, but the low-productive, accounting system representing 20 separate information bases. Work with agreements and maintaining the reference book of partners were not standardized, employees entered data in bases in different formats. With respect thereto data were often duplicated, information exchange between departments was complicated. A lot of time left on collecting and reconciliation of data for the managerial and regulated reporting. The management did not receive operational reports about a financial and economic status of divisions. It was difficult to plan resource allocation, to control costs and observance of conditions of transactions.

Project Objectives

The enterprise was in great need in uniform for all divisions, an information system which would allow to unify work with agreements and the reference book by partners, to accelerate collecting of the consolidated statements, to strengthen control of settlement with clients.

For the solution of assigned tasks systems were selected"1C: Management of holding 8" and 1C: Document Flow "CORP". The company "WiseAdvice became the partner in implementation.

In particular, implementation of an end-to-end system of management of budgeting, treasury and a contracted work had to provide:

  • Formation of budgets of divisions/projects/legal persons (on charge – P&L, and on payments – CF);
  • Electronic submission of data of the budget by participants of budget process;
  • Possibility of approval of the budget of division for the set chain of users;
  • Formation of the consolidated budget (project/business line/country);
  • An opportunity to have several versions of the budget;
  • Possibility of unloading of analytical reports on the basis of budgets/versions of the budget;
  • Possibility of reporting on charge P&L;
  • Possibility of reporting on payments of CF;
  • Consolidation of the reporting (project/business line/country);
  • Possibility of analytical comparison of the budget of different versions and fact;
  • Possibility of formation of requests for payment and passing of chains of approval;
  • Possibility of formation of the operational payment schedule;
  • Database maintenance of loan agreements, preparation of analytical reports according to loan agreements.
  • Collaboration in change of agreements;
  • Possibility of approval of agreements on the predeterminated chain;
  • Electronic vising of agreements;
  • Integration with the accounting systems – an opportunity to import data to agreements from the accounting system, an opportunity to export data from agreements to the accounting system;
  • Maintaining electronic registers of agreements taking into account their status;
  • Interrelation of the database of agreements with budgeting subsystems and reportings (check of agreement performance on payment);
  • Interrelation with the module of Management of an object of a commercial real estate;
  • Interrelation with the Purchase management module.

Project Results

The project was implemented in 6 months.

As a result:

  • In the created system financial accounting of 56 legal entities by uniform rules is kept. Speed of preparation of the reporting to the management increased by 3.5 times. Management of the company quickly controls expenses and more precisely predicts future costs.
  • The agreement base, general for all divisions, and partners with uniform financial reference books is created. Well-defined rules of access for employees to information are set. Collaboration in change of agreements is simplified, their formation and approval is standardized. Time of approval of agreements and preparation of analytical reports under agreements was considerably reduced.
  • Integration of 1C: Holding Management and 1C: Document Flow allowed to control in the automatic mode payment due dates under agreements and to analyze structure of receivables by different criteria. It helps management to make operational decisions for protection of financial interests of the company. In results the value of receivables is reduced by 15%.
  • Operational conducting regulated accounting is organized. Information exchange between operational, financial and accounting services is configured. Employees do not spend time for reconciliation and consolidation of data from the separate systems and files any more. As a result by 2.5 times time for preparation of the reporting and its departure in regulatory authorities is reduced.

"We started an implementation project of the 1C: Holding Management 8 and 1C: Document Flow CORP systems to optimize the internal processes concerning managerial and financial accounting. Certainly, we achieved the goal: by estimates of employees the efficiency of their work increased almost twice. But at the same time a system allowed to achieve also such goals which directly at the beginning of the project were not put by us - it is reduction of receivables and optimization of work with regulatory authorities".
