Security and data protection in the Smart Medicine

At design MIES of Smart Medicine all requirements both the laws "About Personal Data Protection" and "About Data Transmission through Borders", and acts which are attached to them were considered, TAdvisder in the company "Digital worlds" reported.

For December, 2018 a system in SaaS option is completely certified taking into account requirements of the legislation of the Russian Federation. Its main services are placed in cloud DPCs of Rostelecom company.

Underwent certification on FZ-152 both a system, and the access levels to it. All requirements of that organization which certifies and legal acts of the Russian Federation were fully executed by us.

At the same time, protection which assumes security blanket of personal data and other information at all interoperability layers with a system is provided. Any hardware can fail because of force majeurs and if not to do duplication, it is possible to lose important internal data. In each DPC there are several duplicates of the database.

A system offers three levels at which data are duplicated: program, hardware in one DPC and architectural or geographical. In total there are two DPCs which are in the different cities: in Moscow and in Novosibirsk. It means that even if in one city of DPC it will be destroyed, copies of databases will remain in another.

Thus, clients of the Smart Medicine system in SaaS option receive multilevel protection of databases and also guarantees of a full compliance to legal acts of the Russian Federation, summed up in Digital Worlds company.

Key integration of Smart of Medicine

As of November, 2018 the Smart Medicine system is positioned as a core of automation of medical institution. Around this key system it is possible to integrate others to automate all aspects of work of clinic.

If the medical institution has a small format, then there will be enough this medical information system for the organization of stable work of a medical office or small clinic. In those organizations which are more large-scale in addition to MIS it is necessary to organize work of call center, department of radiology and diagnostics, laboratory and so on.

The smart Medicine is MIS with support of the standardized data exchange which are compatible to the majority of systems necessary in medical institution. In a system is own adapters which are working hard under the SOAP protocol. Thanks to it there is an opportunity to use a large number of standard softwares which are compatible to Smart Medicine for work.

Integration with 1C

In private clinics the salary of doctors and other medical personnel often consists of two parts: sole and bonus. This system is used for several reasons. For example, thus the owner of clinic can motivate employees to take bigger volume and to increase quality of work.

Payroll if it is about medical institution with 10 and more employees, it is desirable to automate. Programs 1C calculate the salary of employees taking into account complex structure (a salary, bonuses, a vacation pay and so on).

MIS "Smart Medicine" can be integrated bilaterally with programs 1C. So in other words, the medical information system provides the necessary tools for an intake of data. When adding paid services it sends information to the system of calculation, for example, to a bonus part of salary.

There is a function of handshake of accounts when money arrives on bank accounts of the organizations. Besides, there is financial also an accounting for creation of competent managerial strategy of clinic.

Integration into programs for the reporting

Many automation systems have the built-in modules of the regulated reporting. As a rule, in medical clinic of the average or large sizes the reporting is necessary. It is necessary in order that the management could monitor cash flow and predict development of clinic. The reporting is necessary if you want not only to count daily revenue, but also to do analytics, necessary for the company.

MIS "Smart Medicine" has no own reporting module, but has functionality to simplify preparation of the regulated reporting. Using this system it is possible to unload so-called flat tables in which in access there are more than 50 data fields for each record. So, there is an opportunity to unload data on patients, the services rendered to them, appointments and so on. Further this information can be processed by standard programs for the reporting, for example, Excel with the PowerPivot setup.

Integration with a PIM

Many medical clinics have own laboratories for saving of time and a quality assurance of analyses. But in this case the clinic needs automation of processing of the medical directions and analyses and also other laboratory actions.

Meditsin's Smart gives an opportunity to zatsirkulirovat these processes and to adjust the harmonious system of communications between medical institution and laboratory of analyses. The laboratory information system creates orders for which in MIS there is a register which is specially intended for this purpose. It is possible to tie results of researches to these orders.

All above can be seen in the card of the patient. How does process happen? The patient gets a referral on analyses and gives to laboratory. A laboratory system, in turn, makes a request in MIS under the relevant protocol to confirm the direction. Further the order is created. The laboratory information system transmits results of the made analyses through the special protocol.

Thus time for service of patients is saved and also the risk of errors and loss of the directions or analyses decreases.

Integration with CRM systems

Medical clinics are interested in involvement of new patients and in increase in loyalty of already existing.

In practice SMS- and Email- messages go to patients via the suitable gateway of any format with which the medical organization has an agreement. To reduce the number of the letters getting in spam the organizations it is necessary to take care of settings exchange- servers which has the valid signature. It can be any SMTR server which was configured properly.

Regardless of how mailing in the company is organized, it is possible to send to clients information notifications via any gateway with the SMTP protocol.

The Smart Medicine system is integrated with CRM systems that allows to configure sending messages on such business cases as a reminder on making an appointment, analysis results or survey, the notification on discounts and actions and also the notification on changes in the schedule. For example, in case the attending physician of the patient got sick, and it is necessary to make bulk mailing on his patients through Email or the SMS.

If the patient for the first time visits clinic, all necessary information with useful links is sent him: how to watch the schedule of doctors as it is possible to register in acceptance online and so on.

Thanks to integration of MIS with the CRM system at primary call of the patient the operator can specify at once from where the patient learned about clinic and to save this information in electronic form for further marketing analytics.

Integration into the ACS

In medical clinics the gating system often works. The control system and access accounting, or the ACS, is intended for control and accounting of documents through passage or admissions (one-time and permanent). It is necessary for safety of personnel and guests of clinic and also for control of working time of doctors.

The medical information system "Smart Medicine" is able to transfer all necessary information on the employee or the patient to the ACS database. Thus, the list is constantly updated — synchronization speed at the same time — no more than 5 seconds.

Administrators of clinic at starting the admission should not switch between interfaces of two systems that saves working time.

Module of accounting of medicines and warehouses

On November 7, 2018 the Digital Worlds company provided the module of accounting of medicines and warehouses to the Smart Medicine which serves for work with medicines and supplies by functioning of medical institution.

According to developers, thanks to this module of the company will be able:

• have a clear understanding about warehouse stocks at the moment;
• control receipts which come from different suppliers, sorting by the amount and about goods quantity in each batch.
• at once to write off medications and consumables as soon as they were used for designated purpose, thereby avoiding duplication and other errors.

Features of the warehouse module

Thanks to the module "Warehouse" in the Smart Medicine program it is possible to create virtual premises warehouses in any quantity. There is an opportunity to appoint responsibles to each warehouse. Their tasks during the work with a system include work with an inventory control. It concerns medications and supplies.

In addition to the standardized accounting of medicines the program creates warehouse documents, for example, goods receipt notes. Number for each of them is generated. It is displayed for all names of goods in this batch.

At the statement of medicines it is important to patient to consider an expiration date. This function is implemented in a system too. At appointment to the patient of this or that medicine a system will advise to write off from that batch which has the smallest term. Thus, medications do not spoil, at inventory the huge amount of medicines which expiration date already expired is not written off.

Search and work with the list of medicines

The section "Summary information" contain all data on the medicines which are stored in warehouses. To find a certain document in the list, it is necessary to use search filters of a system. It is possible to look for by the name of medication, active agent and storage location. To see all means and supplies which are available it will be required to reset all filters.

Color separation of medicines helps to control terms of their validity. If the line is selected pink, at medicine the expiration date expired. Yellow color of a line means that the expiration date is less, than 2 months, and this medicine it is necessary to apply first of all.

Report on necessary medicines

On the "Report on a Necessary LAN" tab it is possible to find all information on medicines which are absent in an office of the druggist, but are necessary for the appointed treatment.

If desired it is possible to specify the period, and a system will define the medicines which are absent in an office for the specified period. For viewing by detailed information it is necessary to click with a mouse the name of medicine.

Functionality of Smart of Medicine

For November, 2018 a system provides complex automation for the out-patient medical organizations:

• Clinic: a system ensures functioning of all doctors of all-polyclinic specialties
• Archive: storage of the archive documentation
• Himio-and radiotheraphy: automation of work of chemotherapeutic and radiological departments
• Warehouse: material accounting of everything that is spent
• SMP: automation of work of emergency medical service
• Billing: setup financial politician of the organization
• Automated workplace: a system is expected that with it people of different professions and worked with different skills.

Meditsin's Smart locates a set of adapters for integration with the different systems:

• the organization of a personal account of the interactive website and the mobile applications of clinic focused on the patient and insurance companies;
• accounting records;
• laboratory information systems;
• radiological systems;
• subsystems of call center and so on.

2016: Availability according to the SaaS models and the Platform

After product introduction in Meditsina company at the beginning of 2016 the Digital Worlds company began to offer "Smart Meditsina" for all comers in two models of providing — SaaS (Software as a Service) and Platform (Enterprise delivery for large customers to their DPC, with a possibility of the organization of a private cloud).
