"The cardboard and paper plant" automated process of accounting of entrance departure of vehicles using Lexema-ERP

On November 13, 2018 the company "EcoSoft" announced implementation of the integration platform Lexema-ERP on "Cardboard and paper plant" to Tuymazy (KBQ).

Environmental friendliness of production due to processing of waste raw materials is one of main advantages of KBK Tuymazy. The enterprise closes raw materials turnover from waste paper before production of finished goods. For November, 2018 the workshop of paper and cardboard, workshop of sanitary and hygienic products, workshop of a gofrotara, workshop of a tuberous container are a part of plant. Annual requirement of plant for raw materials – more than 65 thousand tons.

Within several months the automation system of process of accounting of entrance departure of vehicles across the enterprise territory with connection of the systems of recognition of numbers, scales, a barrier, semaphores was developed.

Step-by-step passing of the machine on an accounting system:

1. Operator of entrance. On each entrance of the machine in a system the entrance card is automatically created. The system of recognition transfers a machine number and the trailer to Lexema. Lexema on a machine number looks for type of the CU, the owner, driver according to the database. The operator scans the car driver license, PTS of the car and trailer. Scans are attached to the card of entrance. After entrance registration, the machine goes to weighing.
2. the Operator on weighing. The place of weighing is protected with a barrier. The operator of weighing from Lexema manages a barrier. After opening of a barrier, the machine rises on scales. Nearby the terminal which shows and prints results of weighing is installed. Information with results of weighing automatically gets to Lexema and is fixed in the card of entrance. After check printing, on the screen of the terminal the green semaphore lights up and the machine is sent in laboratory for raw materials examination.
3. Laboratory assistant. Carry out the analysis of waste paper on garbage, humidity, dirtiness, deficiency to laboratories. A task of laboratory - to determine weight for payment and to draw up the Acceptance report of waste paper. To the card of entrance in Lexema add to laboratories a photo and video of a load. The laboratory assistant prepares in Lexema the Act waste paper acceptance. The acceptance act of waste paper goes to approval of the commission on an electronic document management system. The register of acceptance acts depending on the status of approval is tinted in flowers
4. Warehouse manager. The warehouse manager will approve data of the laboratory assistant. In case of disputed issues in a warehouse carry out control weighing and in Lexema "The control Act of weighing" to which data from scales automatically come forms. After approval by the commission of the decision on waste paper acceptance, the head has an opportunity to sign the document and to send it to accounting.
5. Accountant. On the basis of the card of entrance the accountant creates the goods receipt note in the accounting system. The document arrives to the manager for sending for payment.
6. Manager. After approval of the Acceptance report of waste paper by the commission and calculation of cost of raw materials on the basis of price lists, the document arrives to the manager for sending for payment. Automatically Lexema sends to the supplier the Acceptance report of waste paper in the PDF format by e-mail.
7. Analytical forms of acceptance of waste paper. A system stores data of scales, data of the raw materials credited in a system, amount of raw materials on delivery notes of the supplier, information on dirtiness, humidity, defects therefore it is easily possible to compare these digits in one report.

In a system standards on the time spent of the vehicle for the territory and for the period of unloading are put. Time of the movement of the machine at each stage is fixed in Lexema therefore it is possible to trace what vehicles exceeded standards.

All actions of users (preserving, removal, change, approval of the statuses) are fixed in a system and are confirmed by ESMART cards. The transparency of process and kontrollingovy procedures allow to reduce risk of potential abuses by supply of raw materials and in case of their emergence always to find the guilty person.
