2021: Migrating reference data to Microsoft Dynamics AX 2012 R3
O'KAY is systematically implementing a project on the digital transformation of the business and IT landscape in partnership with Korus Consulting Group. The company has transferred reference data to Microsoft Dynamics AX 2012 R3, which helps the retail network qualitatively manage items, assortment and prices in stores throughout Russia. O'KAY and CORUS Consulting continue to develop the system and are preparing to launch a project to transfer commodity cost calculation to ERP. This was announced on April 8, 2021 by Korus Consulting.
Previously, the retailer introduced the Microsoft Dynamics AX 2012 ERP system, which ensured the uninterrupted operation of more than 17 thousand users, and as of April 2021 is developing this solution. The current task of the project team was to transfer the reference data management processes from the previous ERP to the platform.
KORUS Consulting split the migration process into three stages in order to reduce the risks and burden on the system, especially during the high season in retail. The first stage included a directory of nomenclatures and related information (barcodes, alkocodes, shelf life, consumer properties, etc.). The project team implemented master data management processes in terms of working with assortment and supplier prices.
As of April 2021, KORUS Consulting launches the second stage of the project and transfers the "loading point" of retail and stock prices to ERP. At the third stage, specialists implement in the system the processes of maintaining specifications, calculating the minimum retail and purchasing value, monitoring the prices of competitors and managing clusters. The IT company integrates ERP with a planning management solution and a financial and accounting system in terms of maintaining counterparty directories and contracts.

Earlier, the KORUS Consulting team transferred three O'KAY distribution centers to Microsoft Dynamics AX 2012 and performed integration with WMS the system. The joint project team, consisting of employees of KORUS Consulting and O'KAY, moved the processes of all stores in the network from Microsoft Dynamics AX 4.0 to AX 2012 R3, optimizing current business processes and introducing a number of new ones.
The ERP system fully complies with the requirements of O'KAY. Providing support for automation of subject areas of activity, each module is focused on solving a certain group of tasks: procurement management, inventory control, personnel management, etc. This was achieved thanks to the joint work of KORUS Consulting specialists and store employees who know the full process cycles and their relationship not only in theory, but also in practice.
The built system allows you to perform most of the operations in stores using data collection terminals (SDTs), which increases the speed (for example, acceptance processes or printing price tags) and the accuracy of planning in the replenishment processes of the trading room. The implementation of the adjustment and markdown process through TSD, as well as integration with the POS system, has increased the speed of obtaining information about current balances, including online. The easy-to-use interface allows you to perform operations faster, which helps you manage your employees' working hours more efficiently.
During the project, a unified system was created for the formation of tasks for the execution of operations, their distribution to the appropriate categories of store employees and central control over their execution. The task management system, equipped with operational data and wide analytics, allows, seeing the entire life of the store "like a palm," to perform routine operations in a timely manner and respond to process failures. Also thanks to the system, the efficiency of each employee of the store is growing, which will be reflected in the KPI system in the future.

After the pilot launch in October 2017, the process of replicating the solution to the entire hypermarket network began. The project was carried out by the joint team of O'KAY and CORUS Consulting. One team of specialists set up the system and migrated data for hypermarkets, the second part of the team provided tasks to support users right in the store: trained staff and helped with the use of the ERP system. The replication project was completed within 5 months, in full accordance with the original project plan. As a result of the project, stable and uninterrupted operation of the system was ensured in all divisions of the company.
