Gendalf implemented electronic archive in Roof and Isolation company

On March 7, 2019 the Gendalf company announced implementation of the Scan Archive program for creation of archive of documents in 1C in Roof and Isolation company.

According to the company, presence of thousands of clients at the Moscow representative office of Krovlya i izolyation LLC means extensive document flow of division: in a year accounting processes up to 37,000 proceeding (for clients) and 14,000 entering (from 500 suppliers of goods and services) documents.

The management of the enterprise thought of implementation of electronic archive which would allow to transfer documents of last periods (2015-2017) to an electronic form, to reduce time for processing of outgoing documentation and to adjust its operating control in 1C base. Receive confidence available of the signed originals.

Specialists of "A roof and isolation" selected "Scan Archive" from a range of the programs for archiving of documents offered in the market, developed by Gendalf company. Its main advantages became a possibility of recognition of documents without additional barcoding and the optimal price.

The program has the status "1C: Compatible" therefore specialists of Krovlya i izolyation LLC had no problems with solution integration with "1C: Integrated Automation" set in the company. Besides, on the basis of functionality "Scan Archive" they developed the special report in 1C. The report shows what document package should be provided to each specific transaction and whether there is it available.

Processing of documentation happens in electronic archive as follows now. The program will recognize paper documents, synchronizes their scans with 1C and writes electronic copies in archive. After that documents are available to search in 1C and "Scan Archive". At any time it is possible to check their existence, to print or send by mail. Access rights are distributed so that all organization can browse documents, and scan and 3 accountant officers enter only them.

For March, 2019 95% of outgoing documents of the organization for 2015-2017 are recognized by the program for details and entered to electronic archive. Since 2018 "Scan Archive" will quickly recognize 100% of outgoing documents by barcodes. Also "Scan Archive" will recognize up to 50% of incoming documents of suppliers that is caused by their different formats and a design.

Accounting uses "Scan Archive" for providing documents in regulatory authorities. And time for preparation for tax audits was reduced.

We analyzed solutions of the leading players of the market on archiving. We have an experience with 1C archive which provides the standard version. But I with confidence can tell that "Scan Archive" increases the transmission rate of documents even not in 2, and by 5 times. At big document flow it becomes impossible to work without it.
