Hilti automated business processes in purchases and document flow

On July 2, 2019 the Edisoft company announced implementing solution for exchange of legally significant documents with an option of automatic signing out of the accounting system in Hilti.

Hilti uses technologies of Electronic Data Interchange for business process automation throughout a progressive tense. But in process of business development before the company there was a task to optimize document flow of the Russian division. Daily Hilti receives orders from buyers and ships goods to all regions of the country therefore order placement process automation became the first step on the way to Electronic Data Interchange.

Project Progress

It was going to configure work with electronic legally significant documents which accompanied deliveries. To provide requirements of the legislation, signing and storage of electronic documents should happen through the operator of electronic document management in the territory of Russia.

In the analysis of this task Hilti faced the following calls:

• The accounting system of the company is global SAP, and most of clients works in 1C
• Absence in the accounting system of Hilti of an opportunity to create documents in a format of FTS
• Lack of the configured mechanism of signing of documents.

Originally within the project EDI exchange between the producer and buyers was configured. This process happened via the web interface and did not ensure automation functioning with orders. After integration into an accounting system process was completely automated.

Further implementation of legally significant documents began. The Russian representative office of Hilti uses the accounting system of SAP which is applied in corporation at the global level. It imposes a number of restrictions: for example, there is no opportunity to make changes to settings or to accept documents from the third-party accounting systems and also to create documents in a format of FTS. Implementation of the integration LinkServer platform became an optimal solution.

For convenience of control of the statuses the magazine of documents with the system of notifications in which it is easy to control is implemented, the document is signed, specified or rejected. Signing and document storage is performed on the server placed in Russia. After project implementation conversion of the entering EDI messages to the format compatible to ERP Hilti began. It allowed to receive the reliable channel for data exchange at the minimum intervention in the accounting system. Also specialists of Edisoft configured similar transformation for outgoing documents.

For optimization of work several cards of conversions were developed for exchange of UPD accompanying direct sales, processes on lease of the equipment and its warranty repair. Are implemented by 1C modules for exchange of EDI messages and universal transfer documents with several partners of Hilti.

• Order processing is automated
• Data exchange in the necessary format is configured
• The question of signing and storage of e-document flow is solved

Speed of work with orders, drawing of accounts, implementation of shipments increased several times. In general, relationship with buyers became more ordered, and labor costs were significantly reduced by order processing. The problem of signing and storage of legally significant documents was solved. Losses of documents in way were excluded, and employees received the convenient instrument of work with documents in one window. Edisoft also became Hilti provider in Russia.
