2020: Business process optimization based on behavioral models of managers

On May 25, 2020 the 1C-Rarus company announced project completion on transition to the 1C: Document Flow system to JSC Elatomsky Instrument Plant (Elamed). Integration with MindMap is configured, and business processes of the company are optimized on the basis of the data obtained using formation of constructive behavioral models of managers and key staff.

The Elamed company should reorganize business processes so quickly that internal processes did not slow down development. Long time Elamed used document flow based on own development and the platform. Investment plans and development plans in the company were kept not systemically. Trace at what stage and on whose fault there is a shift of terms or not effectiveness of the planned actions it was labor-consuming and required participation of TOP MANAGEMENT of the company. It was necessary to estimate relevance and efficiency of business processes and to change them almost online. As a result the joint command of Elamed companies and "1C-Rarus Chelyabinsk" developed the solution on a basis "1C: Document Flow". As revolutionary changes could lead to financial losses, the way of evolutionary review and process optimization of the enterprise was selected.

Project Objectives:

  • Optimize processes of the company according to requirements of ISO 13845 due to reduction of labor costs and redistribution of powers of key staff and managers of the company, relying on the analysis of cross assessment of assigned tasks and the executed results;
  • Control execution of investment plans and development plans for the enterprise due to integration of 1C systems: DO and MindMap with the subsequent control of execution of tasks to the final contractor.

The project was performed in several steps:

  1. B 1C: Document Flow reflected all key business processes of the company "as is".
  2. When implementing transactions of business processes there was mutual assessment of internal clients and internal suppliers both in terms of problem definition, and in terms of their accomplishment. Besides, there was assessment of effectiveness and efficiency of each process, including its duration and efficiency of reactions.
  3. on the basis of data retrieveds business processes finished to a desirable status.


Project Results:

  • 300 jobs are automated.
  • "1C: Document Flow CORP" in standard functionality assumes a large number of manual entry of information therefore within the project it was devoted to automation of process of setting much time and to control of execution of tasks that all subordinates of a task were started automatically. Cascade change of terms of the project is also implemented if the task or a branch of the project is executed with a deviation on terms within which the algorithm with nontrivial logic is performed.
  • Problem definition and process of cross assessment of tasks, terms and the received results in "1C: Document Flow" allowed the company to create behavioral models of managers and key experts and also to visualize analysis results in the form of histograms in which the percent of a specific behavioral model is reflected. Based on the analysis of negative behavioral models of key staff and managers of the company it was succeeded to identify inefficient business processes which found reflection in "1C: Document Flow", and further to perform process optimization which increased business performance.
  • Within the project integration of "1C: Document Flow" and MindMap ─ the software on creation of mental maps is implemented that allows to control accomplishment of investment projects and projects for development of the enterprise by means of decomposition of tasks to the final contractor. The loading/unloading mechanism in both directions is implemented at the expense of what the convenience of the analysis of execution of projects increases. MindMap in this case acts as the building tool, visualization and control of actions (PLAN, ACT). "1C: Document Flow" acts as the instrument of problem definition and control of execution (DO, CHECK).
  • For May, 2020 all deviations to the Contractor can be checked and corrected due to use of functionality of a system where automatic problem escalation on the top level in case of non-performance of tasks and actions is implemented.

The implemented control system and problem definitions allowed to transfer without serious consequences to remote work more than 200 employees for self-isolation without loss of functionality and efficiency in "1C: Document Flow". During the project the term of approval of documents and advertizing campaigns was reduced by 20%, and the number of tasks with failure of term or transfer was reduced from 20% to 6%. The performing discipline, quality of delegation, problem definition of a managerial personnel, and corporate culture in average mark score grew improved from 3.8 to 4.5.

2017: Implementing solution 1C: Document Flow 8 CORP

In March, 2017 at the Elatomsky instrument plant the company 1C-Rarus Chelyabinsk implemented solution 1C: Document Flow 8 CORP.

Performance indicators from implementation 1C: Document Flow:

  • reduction of an average term of approval of documents - 20%
  • reduction of term of processing of requests for expenditure of DS - 20%
  • reduction of terms of processing orders of clients - 12%
  • reduction of time for formation of the media plan - 1 hour for each region in a month
  • reduction of time for approval of an advertizing campaign - 20%
  • reduction and optimization of business functionality due to reorganization of works in 17 regions and also due to reduction of number of managers.
